Role Summary We are seeking an HR & Benefits Administrator to join a dynamic and fast-growing global organization undergoing significant transformation across systems and operational processes. This role is responsible for end-to-end HR and Benefits administration within the Shared Services model, ensuring accurate, compliant, and efficient processing across HRIS, payroll, and benefits platforms. This role acts as a key operational and systems liaison across HR, Payroll, Benefits functions, external stakeholders, and business units, supporting day-to-day transactions using Oracle HCM. Key Responsibilities 1. HR Administration Maintain and update employee data (hires, terminations, status changes) in HRIS and payroll platforms (Oracle/ADP), including managing system integrations. Perform data validation and audits, ensuring upstream and downstream payroll accuracy. Manage HR documentation, records, and reporting. Act as a liaison between Shared Services, HR, and business units to resolve HR inquiries and issues. Support new hire onboarding (HRIS setup) and offboarding processes (ticket initiation). 2. Benefits Administration Administer end-to-end benefits programs, including enrollments, changes, terminations, and maintenance of accurate HRIS, benefits, and pension records. Coordinate payroll deductions, employer contributions, billing, and vendor invoice reconciliation. Perform data entry, audits, and validations across benefits, pension, and savings plans to ensure data integrity. Maintain documentation, SOPs, KPIs, and issue logs in compliance with internal controls and audit requirements. Support reporting, financial reconciliations, and pension/benefits disclosures. Provide onboarding support and respond to employee and manager benefit inquiries. 3. Service Delivery & Other Support Manage shared inboxes and intake platforms, responding to inquiries in a timely manner. Deliver transactions in line with service level agreements (SLAs) and operational KPIs. Support regulatory filings and internal/external audits. Provide backup support across Shared Services administrative functions as needed. Participate in process improvement initiatives. Document SOPs, workflows, and process changes. Qualifications & Experience Post-secondary education in Human Resources, Business, or a related field. 3-5+ years of experience in HR administration and/or benefits administration, preferably within a Shared Services environment. Hands-on experience with HRIS and payroll systems (Oracle and ADP preferred). Experience supporting multi-entity or multi-country environments is considered an asset. Demonstrated experience supporting system implementations and process improvement initiatives. Skills & Competencies Strong attention to detail and commitment to data accuracy. Solid understanding of HR, payroll, and benefits processes. Strong systems aptitude, including HRIS platforms, Excel, and data validation tools. Highly proficient and comfortable with technology and systems. Excellent organizational, prioritization, and time management skills. Customer-service focused with strong verbal and written communication skills. Ability to work independently and collaboratively in a fast-paced Shared Services environment. Self-starter with a structured approach, capable of managing multiple priorities and meeting tight deadlines with minimal supervision. Demonstrates a continuous improvement mindset with strong curiosity, ownership, and accountability. Maintains strict confidentiality when handling sensitive and personal information. Job Type & Location This is a Contract position based out of Vaughan, ON. Pay and Benefits The pay range for this position is $29.00 - $32.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
