Reporting directly to the Mobile Maintenance Manager, duties include being the first point of administrative contact for the mobile maintenance department which requires formal communication and interaction with all staff, employees, business partners, contractors, vendors and/or other external parties effectively supporting all of the mobile maintenance department’s administrative tasks and functions. Main Accountabilities Enter and track data to create, produce and communicate daily, weekly, and monthly reports as required and requested. Using SAP effectively to create orders, enter data, set up data draws and downloads & perform other SAP functions and transactions as required and requested. Coordinate and organize labour resources with vendors, human resources and labour relations Prepare paperwork and document packages as required and requested Update all communications contacts for department and report as required Archive, track and file all training records, certification records, SOPs, FLRAs, JHAs, documentation sign offs, or other materials as required or requested. Organize, document and chair meetings as required and requested Identify and place orders for administrative supply and other department requirements and expedite as required Track attendance, create and maintain work and vacation schedules, audit and prepare timesheets and perform submissions to payroll using ADP software. Facilitate and track all attendance non-conformities, medical leaves, vacation and time off requests. Support the successful continuation and conformance to all statutory IIBA obligations, Departmental Certifications and Professional requirements or obligations Demonstrated high level of analytical ability and ability to problem solve. Demonstrated ability to achieve results within a team environment with minimal supervision at times. Good oral and written communication skills. Strong organizational skills with the ability to prioritize. High level of attention to detail and excellent follow-up skills. Solid understanding of business professionalism and the ability to work in a team environment. Other tasks as assigned to coordinate Maintenance department administrative functions Main Qualifications Diploma from a vocational institution in Administrative or business-related discipline is required Minimum of 2 years of experience in a similar field is required Demonstrated technical competence with MS Office - Word, Visio, PowerPoint, Excel, Electronic Mail, and other office automation equipment is required SAP or similar management information system software application experience is required ADP - payroll management software experience is preferred Financial and accounting experience, dealing with contracts, time tracking and invoicing is required Job Location Mary River Mine Site, NU, Canada
