As our clients’ first point of contact with our firm, this is a position best suited to someone with excellent communication skills and a desire to provide an exceptional client experience. Key Responsibilities Of This Important Position Include Attending to opening the firm’s reception area daily beginning at 7:45 a.m. Greeting clients and guests of the firm in a friendly and professional manner that invokes a positive impression of the firm and a dedication to client satisfaction Answering and incoming telephone calls, and directing them to the appropriate recipients Responding professionally to any general inquiries Maintaining the firm’s boardroom booking calendar and ensuring that meetings run smoothly Processing all incoming and outgoing mail and couriers and routing incoming facsimiles Maintain cleanliness of the firm’s reception area and boardrooms Processing credit card payments Providing clerical or administrative support as required Who You Are Your application for this position should demonstrate the following: Experience: At least three years as a receptionist or in a similar customer service role. Experience in a law firm or other professional services business would be an asset. Communication Skills: Excellent verbal and written communication skills and the ability to interact with clients in a professional and inviting manner and to provide support in a pleasant and tactful manner. Verbal fluency in both English and Punjabi would be an asset. Client-Centered Approach: A positive and energetic attitude, including the ability to build rapport with clients, a desire to provide a positive client experience and an eagerness to assist others within the firm in offering exceptional client service. Organization: Superior organizational skills, including the ability to handle a high volume of calls, to exercise a keen attention to detail and to successfully manage shifting priorities. Composure: The ability to stay calm under pressure and to diffuse tense situations with empathy, understanding and patience. Computer Skills: Proficiency with Microsoft Office applications, especially Outlook, Teams and Word. Experience with Webex or similar softphone systems would be an asset.
