BGC Ottawa is about building positive and inclusive environments for all. Job Purpose Bgc Ottawa is hiring a Facility Rentals and Business Development Specialist. Reporting to the Director, Facilities and Rentals, this role will work collaboratively with other leaders responsible for rentals and facilities across the organization to contribute to our rental strategy to achieve rental outcomes and revenue targets. BGC Ottawa facilities include gymnasiums, kitchens, multipurpose rooms, a swimming pool, a sleepaway Camp and a Log Home. These spaces serve businesses, community groups, organizations and individuals for both short-term and long-term rentals beyond our core program delivery times. The Facility Rentals and Business Development Specialist is responsible for growing rental revenue by identifying new prospects, managing a sales pipeline, converting inquiries into bookings, developing long-term rental relationships and ensuring quality rental client experience in booking with BGC Ottawa. The role will focus on proactive outreach, client qualification, site tours, follow-up, and recurring rental growth. Responsibilities / Activities Major Responsibility 1: Revenue Growth, Business Development & Community Outreach Develop and implement strategies to increase facility rental revenue, with a particular focus on growing current utilization of Clubhouse and Camp Smitty facilities. Identify and prospect new rental clients, including businesses, schools, sports organizations, swim groups, community organizations, nonprofits, government agencies, and event organizers. Build and maintain a qualified sales pipeline of prospective rental clients. Conduct outbound sales through email, phone, networking, direct outreach, and site tours to showcase available Clubhouse and Camp Smitty facilities and services. Qualify prospects based on fit, facility needs, timing, budget, and likelihood to book. Prepare rental proposals, pricing options, and customized facility solutions in collaboration with Clubhouse Facilities and Camp Smitty leadership. Convert qualified leads into confirmed bookings, with a focus on recurring and higher-value rentals. Identify opportunities to expand existing rental agreements and secure longer-term commitments. Support the Director, Facilities and Rentals and Director, Camps and Program Services in developing annual rental revenue targets and growth plans. Major Responsibility 2: Client Relationship Management and Retention Serve as the primary relationship contact for rental clients during the sales and renewal process providing check-ins and support as necessary. Build and maintain long-term relationships that encourage repeat bookings, referrals, and expanded use of BGC Ottawa facilities. Develop and implement client retention strategies to support recurring revenue and partnerships. Maintain accurate client records, sales notes, opportunities, and follow-up actions. Gather client feedback to identify barriers, trends, and improvement opportunities with rentals. Conduct post-rental follow-ups to assess satisfaction and identify future opportunities for engagement with other BGC Ottawa initiatives led by internal partners (i.e. third-party events, sponsoring an event, volunteer engagement, donation of supplies, etc.,). Support testimonials, referrals, and success stories that promote facility rentals. Represent BGC Ottawa at networking events, community meetings, and industry gatherings to promote rental opportunities. Major Responsibility 3: Rental Operations & Booking Coordination Monitor and respond to rental inquiries within 1 business day through email and booking platforms. Ensure rental agreements and commitments comply with BGC Ottawa policies. Coordinate confirmed rental details with Facility Attendant Coordinator, Camp Smitty Senior Manager and Rental Attendants as needed. Support client access, greetings, or rental oversight only when required. Troubleshoot client or facility concerns professionally and promptly Escalate facility, scheduling, or client issues to the Director, Facilities and Rentals as needed. Major Responsibility 4: Reporting, Market Intelligence and Collaboration Track sales activity, conversion rates, revenue performance, and business development outcomes. Track leads, prospects, proposals, bookings, utilization, revenue, and conversion outcomes. Provide regular updates on pipeline activity, sales progress, and revenue opportunities. Monitor competitor offerings, pricing, and market trends to inform rental strategy. Work with internal departments (Advancement, Finance, Camp Smitty) to support rental campaigns, collateral, lead generation and growth planning. Provide guidance to internal staff related to sales, market segmentation, pricing and service. Participate in organizational planning discussions, cross-functional initiatives, and committees. Contribute to a collaborative, accountable, and mission-focused team environment. Perform Other Duties as Required* Education & Experience 3–5 years of experience in business development, sales, account management, rentals, events, hospitality, recreation, or a related field. Demonstrated experience generating leads, managing prospects, and converting opportunities into revenue. Experience using a CRM, sales pipeline, booking system, or customer database. Experience with facility rentals, recreation, events, nonprofit, or community-based organizations is an asset. Post-secondary education in business, marketing, recreation, hospitality, communications, or a related field is an asset. Skills & Competencies Strong sales, prospecting, and follow-up skills. Ability to build relationships and close rental opportunities. Strong written and verbal communication skills. Ability to prepare clear proposals, quotes, and client-facing materials. Strong organizational skills and ability to manage multiple prospects at different stages. Experience with Salesforce, Amilia and/or other Customer Relationship Management databases. Proficiency in Microsoft Office, including Excel. Ability to interpret basic sales, revenue, utilization, and conversion data. Customer-focused, professional, responsive, and solutions-oriented. Ability to work independently and travel between BGC Ottawa locations as required. WORKING CONDITIONS Hybrid work model (remote administrative work and on-site clubhouse presence) Some evening and weekend availability required Combination of desk-based administrative work and active on-site coordination Moderate physical activity including walking, standing, and occasional lifting Most work is performed in a clean, quiet, and comfortable office environment. The employee may occasionally be required to stand, walk, lift, or crouch. The role involves prolonged computer use and screen time.
