Bilingual Portfolio Administrator About the Opportunity Our client is a well-established, independent investment management firm serving institutional and private clients across Canada. They are seeking a senior-level Bilingual Portfolio Administrator to support their growing Montréal office. This position combines two key areas of responsibility: Managing the administration of client investment accounts with exceptional accuracy and attention to detail. Overseeing the day-to-day operations of the Montréal office, ensuring everything runs smoothly and efficiently. Working closely with senior investment professionals, you will become the administrative backbone of the office, ensuring exceptional client service while maintaining an organized and professional workplace. Compensation Salary Target salary: $75,000–$80,000 Remote, Hybrid or In-Office Primarily In-Office Initial training fully onsite Long-term expectation remains office-based due to office management responsibilities Hours Monday to Friday 9:00 AM – 5:00 PM EST Core office hours: 9:00 AM – 4:00 PM Vacation & Benefits 3 weeks vacation Extended health benefits from Day 1 4.5% employer RRSP contribution Employee Share Ownership opportunity after approximately 36 months Competitive compensation package Responsibilities Client Account Administration Take ownership of the administration of Montréal client investment accounts, ensuring records remain accurate and all files progress efficiently. Coordinate new account openings, account transfers, and account closures while ensuring compliance with all applicable regulatory requirements. Process client transactions and coordinate cash settlements. Prepare monthly and quarterly client reports, presentation materials, and year-end tax reporting packages. Maintain complete and accurate client documentation within the CRM system. Investigate and resolve client inquiries promptly and professionally. Develop a strong understanding of investment products and services in order to deliver an outstanding client experience. Build trusted relationships with clients through professional, detail-oriented service. Office Administration Manage the daily operations of the Montréal office as the primary point of contact for office administration. Welcome clients and visitors while maintaining a professional reception environment. Manage incoming telephone calls, mail, courier deliveries, and general correspondence. Coordinate purchasing of office supplies, equipment, and third-party services. Liaise with building management regarding office facilities and maintenance requirements. Organize internal meetings and assist with planning client meetings and events. Coordinate activities with colleagues across multiple Canadian offices and external service providers. Assist the team with urgent requests, administrative priorities, and ad hoc projects as required. Qualifications Fully bilingual in English and French (spoken and written). Previous experience in portfolio administration, wealth management, investment administration, financial services administration, or a similar client-focused administrative role. Exceptional organizational skills with outstanding attention to detail. Experience managing confidential financial documentation. Strong client service and relationship management abilities. Excellent written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment. Comfortable working independently while supporting a collaborative team. Strong proficiency with Microsoft Office and CRM systems. Professional, proactive, and highly dependable.
