The Canadian Home Builders' Association – Nova Scotia (CHBA NS) is looking for an enthusiastic and highly organized Association Coordinator to join our team. This position offers the opportunity to make a meaningful impact within a growing provincial association while supporting Nova Scotia's residential construction industry through member engagement, event coordination, communications, and day-to-day association operations. Working alongside the Executive Officer, you'll play an important role in delivering exceptional member experiences, coordinating signature events, supporting industry initiatives, and helping strengthen one of Nova Scotia's leading business associations. No two days are the same. One day you may welcome a new member, prepare for a networking event, coordinate sponsors, or create event graphics in Canva. The next, you could assist with event logistics, respond to member inquiries, or help organize one of our signature industry events. Position Details Position: Association Coordinator Location: Halifax, Nova Scotia Hours: 30 hours per week Term: One-year term with the possibility of extension Reports to: Executive Officer Some evening work and occasional travel throughout Nova Scotia will be required to support Association events and meetings. Position Summary The Association Coordinator supports the Association's day-to-day operations while delivering exceptional service to members, sponsors, volunteers, and industry partners. This position coordinates membership administration, event logistics, office operations, and communications support to help ensure the Association delivers outstanding programs, events, and services. Key Responsibilities Membership & Office Administration • Serve as the first point of contact for member and public inquiries. • Monitor and respond to the Association's general email account. • Process membership applications, renewals, and updates. • Maintain accurate member information within the association management software. • Welcome and onboard new members. • Maintain organized digital filing systems. • Coordinate office supplies. • Coordinate incoming and outgoing mail. • Maintain an organized and professional office environment. • Provide day-to-day administrative support to the Executive Officer. • Prepare meeting rooms and materials as required. Event Coordination & Logistics Support the planning and delivery of Association events including networking events, educational sessions, committee meetings, golf tournaments, the Harbour Cruise, conferences, and the Peak Awards. Responsibilities include: • Managing registrations. • Coordinating sponsorship fulfillment. • Preparing name badges and event materials. • Coordinating signage and event supplies. • Assisting with seating plans. • Liaising with venues, caterers, vendors, and suppliers. • Organizing prizes and giveaways. • Coordinating volunteers. • Supporting speakers and presenters. • Managing event registration during events. • Welcoming guests and providing exceptional customer service. • Assisting with event setup and teardown. • Helping ensure events run smoothly and on schedule. • Sending post-event communications and surveys. • Tracking attendance and organizing post-event materials. Communications & Marketing Support • Assist with event promotion and marketing. • Prepare member email communications. • Update promotional materials. • Support sponsor recognition initiatives. Member Engagement • Build positive relationships with members and industry partners. • Respond to member questions and requests. • Maintain the online member directory. • Follow up with renewing members. • Support committee administration. • Assist with member recognition initiatives. • Coordinate member spotlight features and success stories. About You The ideal candidate is organized, proactive, and enjoys working with people. You are someone who: • Loves organizing projects and events. • Enjoys providing exceptional customer service. • Can manage multiple priorities while meeting deadlines. • Takes initiative and works independently. • Has strong attention to detail. • Is comfortable learning new software and technology. • Enjoys working as part of a collaborative team. • Is adaptable and enjoys a role where every day is different. Qualifications We're looking for someone with: • A diploma or degree in Business Administration, Office Administration, Marketing, Communications, Event Management, Public Relations, or a related field is considered an asset. • Two or more years of experience in administration, event coordination, customer service, or a similar role. • Excellent written and verbal communication skills. • Strong organizational and time management skills. • Experience planning or coordinating events is considered an asset. • Experience working for a non-profit organization, professional Association, or membership-based organization is considered an asset. Technical Skills Experience with the following software is preferred: • Microsoft Office (Word, Excel, Outlook, and PowerPoint) • Canva • SurveyMonkey • Zoom or Microsoft Teams Experience using a membership management system is considered an asset. Compensation & Benefits Salary: $22.00–$26.00 per hour, based on qualifications and experience.
