July 24, 2026 SENIOR SECRETARY, DEVELOPMENT (BAND LEVEL 6) Office of Development and Alumni Engagement (2-Year Contractual Position) The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approval DUTIES The Senior Secretary, Development will perform highly responsible administrative support duties requiring a significant degree of initiative and independent judgement in providing support to the Associate Director, Development. Duties include providing personal support to the Associate Director to ensure a high level of personal organization and efficiency, anticipating potential future requirements; working under tight prescribed deadlines; managing the Associate Director's schedule, arranging all meetings, compiling background information for those meetings and coordinating ongoing scheduling requirements; controlling a wide variety of confidential and sensitive matters; managing communication by screening, acting upon, redirecting and/or tracking correspondence to ensure follow-up and on-time completion; anticipating potential requirements to ensure prompt and appropriate response in all stakeholder interactions; composing correspondence, meeting minutes and notes on behalf of the Associate Director, compiling information for reports and presentations; working within a database as well as with spreadsheets to ensure accurate reporting; managing hard copy and digital files and records specifically for the Associate Director; detailed travel planning, including itineraries, agendas, and the appropriate background information to support the travel schedule; coordinating itineraries and appointments for visitors; fostering positive working relationships with staff within the Office of Development and Alumni Engagement as well as throughout the University; ensuring information issued on behalf of the Associate Director is up-to-date and circulated in a timely manner; assisting in the coordination of activities and events; occasional evening or weekend work may be required; covering front desk duties as part of the administrative team and performing other related duties as required. Qualifications Thorough experience (5-7 years) in progressively responsible secretarial work of a self-directed nature; graduation from a secretarial science program, preferably supplemented by a diploma in business administration, is required; or an equivalent combination of experience and training may be considered. Excellent organizational and time management skills are essential, including the ability to prioritize competing demands, exercise sound judgment and respond effectively in a fast-paced environment with frequent interruptions. The ideal candidate will have strong interpersonal skills, a collaborative work style, attention to detail, and a commitment to quality, service excellence, and efficient processes. Experience with MS Word, Excel, Outlook, and PowerPoint, and strong skills in preparing documents, written communications, and information management (electronic and paper-based) are particularly important competency requirements. Knowledge of the University structure and academic and administrative systems and/or a non-profit environment, along with familiarity and proficiency with a relational database or CRM, would be considered assets. Exigences

Requires 5-7 years of progressively responsible secretarial experience and a secretarial science program graduation or equivalent. Proficiency in MS Office and experience with CRM or relational databases is highly valued.
