About Us: Castle & Associates is a respected law firm in Calgary specialising in family law, civil litigation and child welfare matters. We are comprised of six lawyers and six support staff, and we pride ourselves on delivering high-quality, client-centred legal services. Role Overview: We are seeking a detail-oriented, proactive Legal Accounting Administrator to take ownership of our legal accounting system using CosmoLex (or equivalent legal-accounting software). This role will support our firm’s financial functions, trust/IOLTA compliance, matter-based billing, and financial reporting, ensuring accuracy, regulatory compliance and seamless integration with our legal operations. Key Responsibilities: Manage and maintain the firm’s accounting system (CosmoLex) including general ledger, trust/IOLTA ledger, client ledgers, and matter-based accounting. Ensure full compliance with Alberta legal accounting and regulatory requirements (trust fund rules, reconciliation, ledgers). Process billing, invoicing, payment collection and client cost recovery: generate bills, send statements, track receivables, apply payments. Oversee matter trust and operating account transactions: deposits, disbursements, reconciliations and monthly/month-end closing. Collaborate with lawyers and support staff to ensure accurate cost tracking per matter (time, expenses, disbursements). Prepare regular and ad-hoc financial reports: P&L, balance sheet, trust account reports, matter summaries, aging reports. Identify process improvements in accounting workflows, billing systems, and matter financial tracking. Provide support during audits or regulatory reviews; maintain an accurate audit-ready ledger, strong documentation. Act as the primary contact for our external accountant/bookkeeper when it comes to legal-accounting data. Train staff as needed on billing and accounting procedures that affect matters and trust funds. Ideal Candidate: 3+ years’ experience in legal accounting or trust accounting (preferably within a law firm). Strong working knowledge of CosmoLex or comparable legal-specific accounting systems. Deep understanding of trust/IOLTA accounting rules and regulatory compliance. Excellent attention to detail, integrity, and strong organisational skills. Ability to work independently and as part of a small team in a fast-paced legal environment. Proficient in Microsoft Office (especially Excel) and comfortable learning new technology. Strong communication skills: able to liaise effectively with lawyers, support staff, and external accountants. Post-secondary degree/credential in accounting, bookkeeping or finance is preferred (but experience in lieu will be considered).
