Reporting to the Operations Manager, the Administrative Assistant, Operations is responsible for providing administrative support to the Facilities & Operations team. The Administrative Assistant, Operations serves as a primary first point of contact for inquiries and requests directed to Facilities & Operations and supports effective communication, collaboration, and service delivery among a wide variety of stakeholders within the CUE community. Responsibilities Administrative and Office Support Open, sort, and distribute incoming regular and electronic mail and other materials, coordinating the flow of information internally and with external departments and organizations. Edit and proofread correspondence, reports, and other documents for accuracy, clarity, and consistency. Answer telephone and electronic enquiries, respond to routine requests, and relay calls and messages to the appropriate individuals. Greet visitors, determine the nature of their business, and direct them to the appropriate person or area. Organize and coordinate meetings, including physical and virtual meetings, and prepare meeting materials as required. Record, prepare, and distribute meeting minutes and related documentation. Set up, maintain, and update manual and computerized filing and information management systems. Financial and Records Administration Manage receipts, purchase reports, and related documentation, ensuring records are complete and accurate. Provide financial and administrative reports to Finance as required. Maintain accurate administrative records and databases to support departmental operations. Support key management procedures and maintain associated records and databases. Mail and Conference Services Support Provide support and coverage to mail services, including assisting with day-to-day mail services and related administrative duties. Provide absence coverage for the Conference Services Coordinator. Provide coverage for the Conference Services desk, assisting with enquiries, scheduling, and other related administrative functions. Perform other related duties and responsibilities as assigned. Departmental and Field Operations Support Provide administrative and operational support to the Maintenance Manager and field staff as required. Train field staff on reporting procedures and related administrative requirements. Assist with the preparation, organization, and maintenance of safety and project documentation. Provide administrative support to departmental projects and operational activities as required. Perform other related duties and responsibilities as assigned. Requirements High school diploma is required. Post secondary education in a relevant field is preferred. Experience in a maintenance dispatch office setting is preferred. Ability to pass a clear criminal record check is required. Closing Date: Application review will commence immediately and continue until the position is filled.
