How You’ll Make An Impact Create a Seamless New Patient Experience: Welcome new patients with professionalism and warmth—prepare welcome packets, gather health histories, coordinate x-rays and photos, and guide patients and parents through their first visit. Ensure all clinical and administrative details are ready for the doctor’s exam and follow up with patients who are undecided about starting treatment. Coordinate Treatment Planning: Present treatment plans and financial options clearly and compassionately. Prepare New Patient packets, schedule appointments, complete contracts and informed consents, and ensure all documentation is accurate and up to date in the practice management software. Manage Referrals and Specialist Coordination: Handle incoming and outgoing records for transfer patients, coordinate with oral surgeons and general dentists, send and track referral letters, and arrange any necessary pre-treatment appointments such as extractions or cleanings. Support Growth Guidance and Consultations: Track daily exams and growth guidance patients, assist with follow-up communications, and help coordinate appointments for impressions, separators, and treatment starts. Participate in consultations and ensure all patient statuses are correctly updated. Promote the Practice and Build Relationships: Actively participate in marketing and outreach efforts, including patient contests, and community presentations. Coordinate referral lunches, send thank-you notes and gifts, and maintain strong relationships with referring offices. Maintain a Professional and Organized Environment: Ensure the exam and consultation rooms are clean and fully stocked, purchase materials for new patient visits, and help meet monthly production goals by maintaining a high conversion rate from exams to treatment starts. Collaborate Across the Team: Work closely with clinical and administrative staff to ensure a seamless patient experience. Participate in team meetings, contribute to process improvements, and foster a culture of trust, respect, and cooperation. Assist in other areas if needed. The Teammate We’re Looking For Experience working in a orthodontic clinic is strongly preferred. X-ray certification (preferred). Experience in sales is desirable. Good with computers, proficient in Microsoft Office Suite and the ability to learn new software quickly. Knowledge and experience with dental treatment plans and insurance requirements preferred. Certified Dental Assistant an asset. Exceptional interpersonal and communications skills (verbal and written), with a proven ability to build strong relationships and rapport with patients, parents, doctors, fellow team members and the community.
