Keep a Growing Construction Company Organized Eisenhauer Woodworks & Earthworks is looking for a highly organized, action-oriented Operations Coordinator to support our growing custom home building and excavation business. Our team has grown from 6 to 18 people in just over a year. With that growth comes more meetings, decisions, systems, deadlines and follow-up. We need someone who can bring order to the moving parts, capture what matters and make sure work gets carried through. This is a part-time, primarily remote position for someone who is comfortable working independently and following up with people respectfully and consistently. Preference will be given to candidates based in Kimberley or the East Kootenays, although candidates elsewhere in the Mountain or Pacific time zones will also be considered. Occasional travel to Kimberley will be required. What You Will Do You will work closely with the Owner and CFO to keep information, systems and commitments organized. Your responsibilities will include: Schedule meetings with employees, clients, contractors and other stakeholders Attend meetings, capture clear notes and turn discussions into practical action items Track decisions, deadlines and outstanding information Follow up with employees and stakeholders to keep commitments moving Maintain and organize JobTread, our construction management and CRM platform Support the continued implementation and use of Asana Help organize client onboarding, employee onboarding and internal processes Distribute employee procedures and follow up on required documentation Coordinate time-off requests, expense processes and administrative requirements Support vehicle and fleet administration, including maintenance and insurance tracking Coordinate company clothing, business cards, brochures and other operational materials Improve the structure and consistency of meeting notes, project information and follow-up Identify administrative gaps and help put practical solutions in place What We Want to See on Your Resume We are looking for someone with: At least 2 years of experience in administration, operations coordination, project coordination or a similar role Experience managing multiple priorities, deadlines and stakeholders Strong written communication and meeting-note skills Experience turning discussions and decisions into clear tasks and follow-up Confidence using project management, CRM or workflow systems Strong proficiency with Google Workspace or similar business tools Experience with Asana, JobTread or construction software is an asset Experience in construction, professional services, trades or project-based work is an asset A track record of working independently and following through without constant direction Comfort respectfully reminding others about deadlines, decisions and commitments During the Interview We will want to understand how you approach the practical realities of the role.
