In this role, you will be responsible for coordinating service and repair activities, ensuring jobs move efficiently from initiation through completion while maintaining exceptional customer service and administrative accuracy. Job Description: What You'll Do Coordinate Service Activities Create and manage service work orders and job documentation. Review customer requests and ensure all required information is complete before work begins. Support the planning and scheduling of repairs and maintenance activities. Monitor job progress and keep systems updated with accurate information. Identify and communicate potential risks, delays, or issues that could impact timelines or budgets. Support Project and Repair Execution Partner with planners, supervisors, technicians, and customers to ensure work is completed efficiently. Coordinate transportation, contractors, and site access requirements when needed. Schedule and support project meetings, capturing action items and follow-up requirements. Track service progress and ensure commitments to customers are met. Manage Job Closeout and Invoicing Review completed work to ensure all required documentation is accurate and complete. Follow up on outstanding items such as labour entries, parts returns, service reports, and third-party invoices. Support warranty and billing processes. Prepare jobs for final invoicing and customer review. Deliver Exceptional Customer Service Communicate regularly with internal teams and customers regarding job status and timelines. Respond to service inquiries professionally and promptly. Build strong working relationships with customers and stakeholders. Participate in meetings and provide administrative support to service operations as required. What We're Looking For Skills & Qualifications Strong communication and relationship-building skills. Excellent organizational and time-management abilities. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and problem-solving skills. Customer-focused mindset with a collaborative approach. Proficiency with Microsoft Office applications and business software systems. Experience 2-4 years of experience in a coordination, project support, service administration, or operations role. Experience in equipment, construction, industrial, oil & gas, forestry, manufacturing, transportation, or related industries is considered an asset. Experience supporting field or shop operations is preferred. Education Postsecondary education or training in Business Administration, Accounting, Project Coordination, Office Administration, or a related field is preferred. Equivalent combinations of education and experience will be considered. Assets That Will Help You Succeed Mechanical or technical aptitude. Experience working with service, maintenance, repairs, or equipment-related operations. Understanding of invoicing, warranty administration, job costing, or project coordination.
