Location: Dartmouth, Nova Scotia Workplace: Onsite Career Opportunity GeoSpectrum is growing and has a new career opportunity for an experienced Finance Project Administrator! Reporting to the Vice President of Finance, the Finance Project Administrator supports the administration of project-related financial activities across ERP order entry, job costing, reporting, and invoicing. This role works closely with Finance, Business Development, Engineering, Manufacturing, Logistics, and Program/Project Managers to ensure ERP data, job records, customer invoices, shipping coordination, and project financial information are accurate, current, and aligned with business requirements. The position plays an important role in supporting informed decision-making by preparing and maintaining financial, manufacturing, and project data, assisting with cost information for product quotes, and contributing to continuous improvement in finance and manufacturing processes. Responsibilities ERP order entry (Sage 300), coordinating reconciliation with Business Development and Engineering to ensure accurate data entry. Support Program / Project Managers with financial queries, reports and job costing data and analysis. Help interpret and analyse data to drive business decisions. Update order entries as configurations are amended and shipping dates change. Open, amend, close jobs and work orders within the job costing system. Manage manufacturing reports to inform production meetings. ERP Export / Shipping coordination (including coordinating export permits and processing the shipping within ERP to hand off to the shipping department). Customer invoicing, tracking and reporting. Tracking project milestones. DND/DRDC time reporting and invoicing Financial and Manufacturing projects/improvements/processes reporting Act as primary Finance contact for Business Development to assist in gathering cost information for product quotes. Other responsibilities as assigned by management. Qualifications Post secondary degree (Business Administration, accounting or equivalent). Experience in a mid-sized organization (approximately $100M–$500M revenue). Knowledge of accounting software or enterprise resource planning (ERP) systems. Experience working in a manufacturing setting preferred. Ability to obtain Canadian Government Security (Reliability) Clearance and Canadian Controlled Goods clearance.
