Company Description The International Business Aviation Council (IBAC) is a global organization comprising 14 business aviation associations representing over thousands of members across six continents. IBAC serves as the collective voice of business aviation, advocating for the sector’s interests and promoting safe, efficient, and sustainable operations worldwide. The council collaborates with regulators, industry stakeholders, and partners to shape policies and standards that support business aviation growth. Working with IBAC offers the opportunity to contribute to an international mission supporting a dynamic, globally connected industry. Role Description The Administrative Specialist is a full-time on-site role responsible for providing comprehensive administrative support to IBAC’s leadership and teams. Daily tasks include managing calendars, scheduling meetings across time zones, organizing virtual events, and maintaining accurate records and documentation. The role involves handling correspondence, preparing reports and presentations, supporting basic finance-related tasks such as expense tracking and invoice coordination, and responding to member and stakeholder inquiries in a professional manner. The Administrative Specialist will also assist with data entry, maintaining databases, coordinating with external partners, and contributing to the smooth operation of internal processes. This position requires proactive communication, attention to detail, and the ability to prioritize tasks in a remote, international environment. Qualifications Candidates should possess strong Communication skills, including clear written and verbal communication and the ability to interact effectively with international stakeholders. Candidates should possess solid Analytical Skills to manage data, prepare basic reports, and support problem-solving and process improvement. Candidates should possess demonstrated Administrative Assistance capabilities, including scheduling, document management, data entry, and general office coordination. Candidates should possess Customer Service skills to respond promptly and professionally to member and partner inquiries and support a positive stakeholder experience. Candidates should possess foundational Finance skills, such as handling invoices, tracking expenses, and supporting basic budgeting or reporting activities. Additional beneficial qualifications include proficiency with office productivity tools (e.g., Microsoft 365 or similar), strong organizational and time management abilities, and experience in a remote or international work setting. A relevant diploma or degree in business administration, office management, or a related field is preferred, along with prior experience in an administrative or coordination role.
