Director, Executive Office Location: Moose Jaw, Saskatchewan Company: JGL Group of Companies Reports To: Chief Executive Officer (CEO) The Opportunity JGL Group of Companies is seeking an experienced Director, Executive Office to serve as a trusted partner and extension of the CEO. This is not a traditional executive support role. The Director, Executive Office will manage complex priorities, communications, schedules, and key initiatives while anticipating needs and implementing systems that improve executive and organizational effectiveness. The successful candidate will bring significant executive-level experience, exceptional judgment, discretion, and the confidence to introduce best practices, respectfully challenge when needed, and keep priorities moving forward. While primarily supporting the CEO, this role will also work with the Executive Leadership Team and contribute to key initiatives across the organization. Key Responsibilities CEO Partnership & Executive Effectiveness Serve as a trusted partner to the CEO, bringing professionalism, discretion, sound judgment, and proactive support. Develop a strong understanding of the CEO's priorities and leadership style to effectively manage commitments and competing demands. Protect and optimize the CEO's time, keeping focus on the organization's highest-value priorities. Anticipate needs, identify potential challenges, and proactively develop solutions. Establish and improve executive systems, processes, and best practices. Track key commitments, priorities, deadlines, and follow-up, respectfully holding the CEO accountable where required. Executive Administration Manage the CEO's complex calendar across multiple businesses and stakeholder groups. Coordinate domestic and international travel, accommodations, transportation, and itineraries. Prepare and edit executive correspondence, presentations, reports, briefing notes, speeches, and meeting materials. Draft communications on behalf of the CEO while maintaining appropriate voice and professionalism. Manage approvals, signatures, expenses, corporate credit card reconciliations, and executive records. Screen incoming requests, determine priorities, and ensure appropriate follow-up. Corporate Leadership & Governance Provide executive support to the Executive Leadership Team, as required. Coordinate Board and leadership meetings, strategic planning sessions, retreats, and other corporate activities. Prepare agendas, presentations, briefing materials, and meeting packages. Track decisions, action items, and commitments to ensure appropriate follow-through. Support executive onboarding, confidential leadership initiatives, and corporate communications. Executive Communications & Stakeholder Relations Serve as a key liaison between the CEO and internal and external stakeholders. Prepare materials for Board meetings, conferences, presentations, and speaking engagements. Ensure executive communications are accurate, professional, and consistent. Represent the Office of the CEO with diplomacy, integrity, discretion, and professionalism. Philanthropy & Community Investment Facilitate JGL's family and corporate philanthropy and community investment activities on behalf of the CEO. Review requests and gather information to support informed decision-making. Coordinate meetings, approvals, contributions, correspondence, budgets, documentation, and follow-up. Maintain relationships with community organizations and internal stakeholders. Track commitments and provide updates on community investment activities and impact. Support Marketing with sponsorship initiatives as required, while Marketing retains ownership of business- and brand-driven sponsorships. Organizational Support & Continuous Improvement Monitor key organizational deadlines, governance requirements, and recurring corporate commitments. Conduct research and prepare concise executive summaries to support decision-making. Identify opportunities to improve executive workflows, processes, and systems. Coordinate special projects, strategic initiatives, and confidential assignments on behalf of the CEO. Qualifications & Experience The ideal candidate will bring: Post-secondary education in Business Administration, Executive Administration, Management, or a related field, or an equivalent combination of education and experience. 10+ years of progressive executive support experience, including at least five years supporting a CEO, President, Founder, Owner, or Executive Leadership Team. Experience working within a complex, fast-paced, entrepreneurial, or multi-entity organization. Proven ability to establish executive systems and best practices while managing complex calendars, travel, communications, confidential information, and competing priorities. Experience supporting Board governance, executive leadership meetings, and strategic planning. Exceptional organizational, communication, time-management, and relationship-building skills. Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Experience with organizational growth, acquisitions, business transformation, agriculture, or agribusiness is considered an asset.
