SENIOR PAYROLL CLERK - 35 Hours

TITLE: SENIOR PAYROLL CLERK - 35 Hours
DEPARTMENT: Payroll Department
REPORTS TO: Payroll Manager
SUMMARY:
With minimal direction the Senior Payroll Clerk is responsible for the preparation of one or more of the School District's payrolls. He/she works cooperatively with other employees and the public.
DUTIES:
- Calculates, inputs, and maintains information relating to new employees, changes in employee status, changes in hours worked, terminations, and employee accruals.
- Reviews Personal Information Forms (PIFs) from Human Resources before input and reconciles as required.
- Accurately generates pay calculations, produces payroll registers, prepares related reports, completes payroll by deadlines, and reconciles net pay accounts as required.
- Maintains an up-to-date knowledge of employee contracts and collective agreements.
- Maintains records and makes necessary adjustments for items such as sick leave, vacation, employee increments, absences, and payroll deductions and earnings, and Workers Compensation Board payments. Completes employer forms as required by WorkSafe BC.
- Calculates employees' earnings as required for WorkSafe BC.
- Distributes, collects and ensures accuracy of timesheets, absentee reports and leave applications before data entry.
- Supports district staff on how to use electronic timesheets and other related electronic services used to collect payroll related data.
- Communicates with internal and external parties relating to payroll matters.
- Processes Records of Employment when an interruption of earnings occurs or as requested.
- Calculates payouts such as sick leave, vacation on termination.
- Prepares payments and remittances to outside agencies as necessary.
- Maintains and produces payroll related pay statements.
- Cancels and re-issues payroll in overpayment or underpayment situations.
- Prepares reports and processes short term disability claims and payment.
- Inputs length of service, retroactive adjustments, pension and WorkSafe adjustments, Length of Service retro, collect overpayments from employees as required.
- Assists Payroll Manager as required.
- Performs other duties as assigned.
REQUIRED KNOWLEDGE, ABILITY, SKILLS******(Senior Pay**roll Clerk)****
- Grade 12 diploma or equivalent.
- Completion of 4 courses equivalent to PCP (Payroll Compliance Program)
- Five years experience working within a large automated payroll environment; with at least two years of this experience within the past five years.
- Intermediate level knowledge in Microsoft 365 and other software functions.
- Intermediate level knowledge of database and computer functions.
- Keyboarding skills of 50 words per minute or proof of competency in keyboarding skills.
- Proficient in the payroll applications related to union agreements, Statutory requirements, Revenue Canada and WorkSafe regulations.
- Knowledge of Business English, punctuation, spelling and Business Math.
- Knowledge of office practices and procedures.
- Proven interpersonal skills and the ability to serve the School District's employees in a supportive role, professionally representing the Payroll Department.
- Proven ability to establish and maintain positive, effective work relationships in a team environment.
- Ability to thrive in a fast paced, high pressure environment while maintaining strong focus and managing frequent interruptions.
- Proven ability to use tact, discretion and maintain confidentiality in matters pertaining to the School District.
- Proven ability to effectively communicate both verbally and in writing and to provide service and relationship to the public and School District in a professional, respectful, positive and courteous manner.
- Proven ability to multi-task, prioritize, self-motivate, and meet deadlines.
- Ability to maintain close attention to detail for periods of sustained duration and to meet deadlines.
