About the role

Are you a detail-oriented professional with a passion for safety excellence and data integrity? Surepoint is looking for an HSE & Fleet Administrator to join our team. This pivotal role serves as the central hub for our Health, Safety, Environment, and Fleet departments, ensuring our systems are accurate, our reporting is robust, and our team is compliant.

The Role

As the HSE & Fleet Administrator, you will manage the administrative heartbeat of our safety culture. From onboarding new hires into our safety systems to tracking fleet registrations and analyzing KPIs, your work directly supports our operational success and regulatory standing.

Key Responsibilities

  • Act as the primary administrator for HSE software; manage employee profiles, contractor data, and system updates for new hires, transfers, and exits.
  • Generate weekly and monthly KPI reports. You’ll summarize safety trends and operational data using HSE software and advanced Microsoft Excel functions.
  • Lead the HSE onboarding process for new team members. This includes creating profiles, monitoring training completion, and proactively following up to ensure all documentation is finalized.
  • Maintain the employee training matrix and track monthly requirements for internal and external COR safety audits to keep the company on track.
  • Support the documentation process for incidents, near-misses, and damages. Prepare safety statistics for submission to clients, vendors, and government entities.
  • Oversee vehicle registrations, driver’s abstracts, manage the issuance and cancellation of fuel cards, and maintain accurate fleet assignment logs.
  • Identify and recommend administrative efficiencies to streamline workflows, data entry, and reporting processes.

Qualifications

  • Post-secondary education in HSE (Certificate or Diploma preferred).
  • 3–5 years of experience in a Health & Safety administrative role. Prior experience in Fleet Administration is considered a strong asset.
  • High proficiency in MS Office 365 (specifically Excel) and experience navigating HSE subscription databases.
  • Previous experience working with Dayforce Learning is an asset.
  • Familiarity with federal and provincial (AB, BC, SK) HSE and Fleet regulations.
  • Exceptional attention to detail and a high bar for statistical accuracy.
  • Strong time management skills with the ability to juggle multiple concurrent assignments.
  • Professional communication skills for effective stakeholder engagement.
  • A self-starter mindset with the ability to work independently while staying connected to the team.
