What can you expect from this position?

Reporting to the Head of Procurement, the Management Assistant, Procurement Services plays a critical role in enabling the success of GTAA’s procurement function. This position provides advanced administrative, coordination, analytical, and project support to senior procurement leadership, ensuring priorities are managed, information flows seamlessly, and initiatives progress on schedule.

You will be a trusted partner to the Head of Procurement, supporting strategic planning, executive‑level materials, governance documentation, and cross‑functional coordination. Through strong organization, discretion, and stakeholder engagement, this role contributes directly to informed decision‑making and the successful delivery of procurement priorities across the airport.

As a Management Assistant, Procurement Services, you will:

  • Provide proactive, high‑level administrative and operational support to the Head of Procurement, managing priorities, schedules, action items, and follow‑ups.
  • Coordinate meetings, prepare agendas, briefings, presentations, and executive‑level materials to support senior leadership effectiveness.
  • Track procurement initiatives, milestones, and deliverables, providing dashboards, status reports, and updates to leadership and governance forums.
  • Serve as a key liaison between Procurement, internal business units, Finance, Legal, and external partners to ensure clear communication and alignment.
  • Prepare, edit, and maintain procurement documentation, templates, reports, and presentations using Microsoft Office and SharePoint tools.
  • Maintain organized document repositories, including contracts indexes, templates, policies, and departmental playbooks.
  • Support planning cycles, training sessions, stakeholder engagement activities, and internal communications initiatives.
  • Identify opportunities to improve processes, leverage technology, and enhance operational efficiency within the procurement function.

This is the role for you, if you have:

  • 2–4 years of experience in business administration, coordination, project management, communications, or executive support. Procurement experience is considered an asset.
  • Experience supporting senior leaders and working confidently with stakeholders at multiple organizational levels.
  • Strong organizational, communication, and document management skills, with exceptional attention to detail.
  • Proven ability to manage multiple priorities, exercise discretion, and handle confidential information.
  • Advanced proficiency with Microsoft Word, Excel, PowerPoint, and related collaboration tools.
  • An interest in procurement, governance, or complex operational environments.
  • A post‑secondary diploma in Business Administration, Supply Chain, Project Management, or a related field, or a combination of education and relevant experience.
  • Ability to obtain and retain Transportation Security Clearance at the designated level for the position.
