Position Overview

Strategic Group is seeking a highly organized, proactive, and trusted Executive Assistant to the President to join our team. This is a critical role that enables the effectiveness, focus, and productivity of our President by providing high-level administrative, operational, and strategic support.

Key Responsibilities

Enable Executive Effectiveness

  • Provide proactive, high-level support to the President by anticipating needs and removing barriers to productivity
  • Manage a dynamic and highly organized calendar aligned with business priorities
  • Coordinate meetings, prepare agendas, capture key takeaways, and track follow-ups to drive execution
  • Support the tracking of priorities, initiatives, and deliverables to ensure clarity and accountability
  • Recognize and manage urgent and time-sensitive matters with sound judgment

Lead Communication & Information Flow

  • Draft, edit, and manage internal and external communications on behalf of the President
  • Act as a central point of contact, screening and directing inquiries appropriately
  • Ensure timely, professional, and consistent communication across all stakeholders
  • Maintain organized and accessible records, files, and documentation with a high level of accuracy and confidentiality

Support Relationships & Coordination

  • Act as a liaison between the President and Team Members, leadership, clients, and external partners
  • Build and maintain strong relationships while representing Strategic Group with professionalism
  • Coordinate cross-functional communication to ensure alignment on key initiatives
  • Maintain and manage a comprehensive database of contacts and relationships

Drive Operational Excellence

  • Coordinate business related travel logistics for the President
  • Prepare and compile materials for meetings, including reports, presentations, and due diligence documentation
  • Attend meetings and functions as required to capture and communicate key information
  • Manage corporate and executive files with a high degree of organization and accuracy
  • Support ad hoc projects, research, and operational priorities as required

Collaborate Across the Organization

  • Work closely with other Executive Assistants and Team Members to ensure seamless support
  • Facilitate information flow across departments to support execution of strategic priorities
  • Contribute to a high-performing, team-oriented environment aligned with Strategic Group values

Qualifications

  • 3+ years of experience in an Executive Assistant or senior administrative support role
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Exceptional attention to detail and a high level of accuracy
  • Professionalism, discretion, and the ability to handle confidential information
  • Strong interpersonal skills with a client-service mindset
  • Excellent written and verbal communication skills
  • Ability to work independently in a fast-paced, entrepreneurial environment
  • Advanced proficiency in Microsoft Office Suite and comfort learning new systems
  • Experience in real estate, finance, or a related industry is considered an asset
  • Post-secondary education in business, administration, or a related field is considered an asset
