We are seeking a detail-oriented and motivated Sales & eMarketing Coordinator to support our Sales team and eMarketing operations.
The Sales & eMarketing Coordinator role provides operational and administrative support to the sales team by coordinating advertising campaigns, managing media placements and ensuring timely execution of digital and editorial deliverables. This role serves as a key liaison between sales, clients, and internal production teams to facilitate smooth campaign implementation, accurate scheduling, and performance reporting.
The position requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously while maintaining clear communication with internal teams and clients.
Responsibilities

Create, maintain, and update media planners to support advertising campaigns, including tracking results and changes to insertion orders
-
Schedule and track insertion orders, ensuring all placements are accurately documented and reflected in internal calendars and Trello boards
-
Maintain the editorial calendar and align all booked placements accordingly
-
Collect, track, and manage client materials across campaigns, ensuring accuracy and timely delivery
-
Coordinate, upload, proof, and publish digital and editorial content, including sponsored articles, digital magazine features, and video content
-
Manage online banner ad placements in Google Ad Manager, including asset collection, setup, proofing, and performance tracking
-
Build, launch, and manage third-party email campaigns (eBlasts) and newsletters in HubSpot, including list management, proofing, resends, and reporting
-
Coordinate barter placements, including scheduling and material collection
-
Provide accurate and timely campaign performance reporting across all channels
-
Assist in preparing sales materials such as rate cards, booking sheets, eNewsletter schedules, and media plan templates
-
Support sales in identifying and researching editorial sponsorship opportunities
-
Maintain organized trackers, calendars, and campaign documentation to ensure smooth execution
-
Collaborate with eMarketing, CSD, Editorial, and Operations teams to deliver campaigns successfully
-
Share client feedback, market insights, and product input with internal stakeholders
-
Provide ongoing operational support to enable sales team efficiency and client success
Qualifications:

Experience in sales support is required, and experience working with email marketing is an asset

Experience with marketing automation and CRM systems (e.g., HubSpot, MailChimp)
-
Industry Expertise: Familiarity with digital publishing, lead generation campaigns, or science sectors is highly desirable
Skills:

Strong attention to detail with the ability to execute work accurately and on time

Highly organized, with the ability to manage multiple projects and deadlines
-
Experience coordinating with clients and cross-functional teams
-
Familiarity with digital marketing campaigns and basic performance reporting
-
Clear communication skills and a proactive, reliable work style
This is an in-office position, based in our Midland, Ontario office.
