Location - This role is in-person at North Campus Edmonton.
The Office Administrator provides routine and general office and administrative support for the Faculty of KSR and the KSR Office of the Dean.
Reporting to the Faculty General Manager, the Office Administrator will support the Faculty’s administrative operations related to communications, facilities, events, and other area operations.
The incumbent will be required to anticipate the daily fluctuations in workload and must meet varying operational demands to independently prioritize their workload to meet the expectations and timelines from all areas the position services. This position requires the incumbent to be on-campus full-time.
Ranked among the world’s top 10 in sports-related disciplines (QS World Rankings 2017–2019), the Faculty of Kinesiology, Sport, and Recreation excels in diverse areas including sport science, exercise physiology, health, tourism, rehabilitation, and recreation management. For more than 50 years, the faculty has advanced community health and quality of life through its research, teaching, and outreach.

Provide responsive, day-to-day support to faculty, staff, and students.

Answer and respond to general inquiries by phone and email and redirect as appropriate.

Greet visitors to the KSR Office of the Dean and route them to the appropriate area.

Assist faculty and sessional instructors with printing, exam materials, and general course-related needs

Maintain files and filing systems.

Troubleshoot photocopier and phone issues; organize service calls as required, and maintain adequate levels of supplies for machines, including shredding services.

Provide basic troubleshooting for office equipment, meeting rooms, and AV systems; escalate issues to IST as needed.

Coordinate and distribute equipment and resources for teaching and events (e.g., cameras, banners, supplies)
-
Schedule rooms, organize equipment, order catering, and assemble materials for meetings and events.

Maintain inventory of office supplies and equipment.

Sort and distribute mail; arrange mail slots for new staff; schedule courier service.

Format documents.

Coordinates card access and door access.

Set up office spaces for new staff, and supports basic office moves.

Assists with office relocations and reconfigurations.

Posts notifications and event signage.

Submit and track service requests for IST and facilities-related issues.

Provide light housekeeping and ensure shared spaces remain organized, functional, and welcoming.

Assist with access needs (e.g., opening rooms/offices as required).

High school diploma

1-2 years work experience in a fast-paced, dynamic environment

Ability to lift 15kg (approximately 33lbs) repetitively
