Administrative Assistant - YYZ (Inc)
About the role
AEssential Functions & Responsibilities
- Maintain strict confidentiality of all station personnel records and employee information, as well as personnel records for both active and inactive employees.
- Coordinate the local airport badge and pass process.
- Track attendance, monitor schedules, and manage timekeeping using the Kronos system.
- Proven experience managing employee injury and return-to-work files, including WCB (occupational), STD/LTD (non-occupational), and medical leaves
- Ability to monitor injury and leave cases to ensure accurate documentation, timely follow-ups, and compliance with WCB requirements, benefits providers, collective agreements, and company policies
- Generate and analyze Kronos reports to support attendance management, payroll accuracy, and operational needs.
- Update employment and status changes in UKG.
- Support hiring and recruitment initiatives, including recruitment events and new hire tracking, onboarding activities such as entering new hire information, benefits enrollment, and new hire orientations.
- Assist with employee engagement activities.
- Support Operations with shift and vacation bids, reporting, and related tasks.
- Support the HR Manager with HR administrative-related tasks.
- Ensure required postings and corporate information are current and properly displayed.
- Open, sort, and distribute incoming correspondence.
- Draft internal and external communications for the appropriate individuals or departments.
- Schedule meetings and prepare meeting minutes.
- Perform other duties as assigned.
Experience & Qualifications
- Minimum 3 years of office administrative experience.
- At least 1 year of hands-on experience working with the Kronos system, or demonstrated proficiency in Kronos timekeeping and reporting
- Experience updating employment and employee status changes in UKG.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Strong ability to manage a high volume of emails.
- Ability to multitask, prioritize effectively, and remain well organized.
