About the Opportunity
This position is offered through the Canada Summer Jobs program and is a great opportunity for students or youth looking to gain hands-on experience in a professional, team-based environment.
You will prepare, edit, and proofread a variety of documents including correspondence, reports, presentations, and invoices, while also managing mail distribution, scheduling meetings, and maintaining organized filing systems.
The role includes supporting grant activities through research of funding opportunities, monitoring eligibility requirements, reviewing guidelines for compliance, and assisting with the organization of financial and reporting documentation. You will also help track grant status updates and maintain centralized records.
In addition, you will support sponsorship activities by conducting research on potential partners, assisting with donor and sponsor communications, and helping prepare materials such as logos and acknowledgements for marketing and event use.
This role offers valuable, practical experience for those interested in finance, grants, and sponsorship coordination, or administrative careers.
As per Canada Summer Jobs program requirements, candidates must be:

Between 15 and 30 years of age (inclusive) at start of employment

A Canadian Citizen, permanent resident, or a person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
-
Legally entitled to work according to BC legislation and regulation.

International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.
Job Duties

Prepare, key in, edit, and proofread correspondence, invoices, presentations, brochures, reports, and related materials from dictation and handwritten documents
-
Receive, sort, and distribute incoming mail (physical and electronic) and coordinate information flow across departments and organizations
-
Schedule and confirm appointments and meetings for staff
-
Set up and maintain manual and computerized filing and information systems
-
Conduct preliminary research on funding opportunities and summarize key grant requirements
-
Monitor government websites and funding portals for updates to eligibility criteria and application changes
-
Compile and organize data for internal reports on grant status and funding activities
-
File grant approvals, documentation, and communications in centralized systems
-
Review grant guidelines for compliance and flag potential issues
-
Assist in collecting and organizing financial documentation for reporting purposes
-
Participate in meetings and take accurate notes
-
Conduct sector research to identify potential sponsorship opportunities
-
Support sponsor and donor communications
-
Assist in compiling sponsor logos and names for marketing materials, websites, and event signage

Use and adapt to various technologies (e.g., Word, Excel, databases, and other software)

Handle sensitive information with confidentiality
-
Collaborate effectively in an office and team environment (experience considered an asset)
Education
- College diploma/University degree in related field.
