Executive Support Coordinator

We have an opportunity in our Vancouver office for a Executive Support Coordinator to join our team.

The Opportunity:

We are seeking an Executive Support Coordinator who plays a pivotal role in supporting the Chief Executive Officer and the senior leadership team in the Vancouver office. Reporting to and working in close partnership with the Executive Assistant to the CEO, this position provides high-quality administrative, logistical, and executive support, while also coordinating key leadership initiatives and firm-wide programs.

Here’s what you’ll be doing at Kasian:

Executive & Calendar Support

  • Manage the CEO’s calendar with precision, including scheduling, prioritizing, and coordinating internal and external appointments.

  • Coordinate and facilitate meetings between the CEO and internal stakeholders

  • Anticipate scheduling conflicts and proactively resolve competing priorities in a timely and professional manner.

Travel & Office Logistics

  • Coordinate all travel arrangements for the Vancouver office, including flights, accommodations, ground transportation, and itineraries.

  • Ensure travel bookings align with corporate travel policies and are communicated clearly and in advance to all relevant parties.

  • Manage travel-related changes, cancellations, and expense reconciliation with efficiency and attention to detail.

Events, Townhalls & Leadership Programs

  • Assist the CEO’s Executive Assistant with the planning and preparation of workshops for the national leadership team, including materials, logistics, and venue coordination.

  • Support the coordination and execution of company-wide townhalls, including scheduling, communications, presentation assembly, A/V coordination, and post-event follow-up.

  • Assist in the development and formatting of executive presentations and materials for leadership team meetings.

National Administrative Team Support

  • Serve as a knowledgeable and collaborative resource to administrative team members across the Firm’s national offices.

  • Share best practices, provide guidance on processes and systems, and foster a culture of consistency and excellence within the administrative function.

  • Assist with national administrative initiatives and projects as required.

General Administrative & Corporate Support

  • Provide high-level administrative support across a range of corporate activities, including coordinating renewals, maintaining records, and assembling corporate documentation.

  • Support the preparation, organization, and distribution of internal documents, reports, and materials.

  • Undertake additional administrative responsibilities and special projects as required to support the CEO and broader operational needs of the Firm.

Here’s what you bring to Kasian:

  • Minimum of 5 years of experience in executive administrative roles, preferably within a professional services or corporate environment.

  • Demonstrated ability to manage complex calendars, executive schedules, and multi-stakeholder meeting coordination.

  • Proven experience coordinating corporate travel arrangements across a multi-location organization.

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools.

  • Exceptional written and verbal communication skills, with the ability to produce polished, professional correspondence and documentation.

  • High degree of discretion, judgment, and integrity when handling confidential information.

  • Strong organizational skills with meticulous attention to detail and the ability to manage multiple priorities simultaneously.
