Why is this role important?
The Senior Coordinator coordinates and drives operational activities that support the delivery, dissemination and quality of CIHI’s data products, services and analytic outputs. Working across program and corporate teams, this role develops and oversees project plans, facilitates stakeholder engagement and communications, triages and coordinates data requests and intake processes, contributes to quality assurance and publication/ dissemination activities, and supports knowledge translation and capacity building related to CIHI data holdings.
What you'll do

Develop and maintain project and program plans using Gantt charts, charters, timelines, milestones; monitor progress and provide status updates to management.

Coordinate operational and logistical activities for analytic products, data releases, tools and projects including meeting coordination, documentation, approvals, scheduling.
-
Oversee intake, triage and tracking of data requests, including client intake mailbox/processes; clarify client requirements and liaise with program teams and external partners to ensure timely fulfillment.

Support data authorization/registration processes and client onboarding for e tools and data services.
-
Coordinate production, publication, translation and dissemination of materials and products; ensure accessibility and quality assurance including fact-checking and signoffs.

Prepare and maintain written materials: briefing notes, presentations, web content, user guides, training materials and knowledge translation products.

Organize and facilitate stakeholder, advisory group and project working group onboarding and meetings.

Maintain stakeholder contact lists, records management and CRM entries; contribute to process documentation and SOPs.

Identify process gaps and propose process improvements to enhance client service, project delivery and records/workflow management.

Support budget monitoring and reporting where required; assist with contract/statement-of-work administration for external vendors.

Participate in cross-functional CIHI project teams and support capacity building and outreach activities.

As required, perform literature and environmental scans, evidence synthesis, and prepare supporting background analysis for analytic initiatives.
What you'll bring to the table
- Undergraduate degree in Health Sciences, Health Information, Health Services Management, Business, Social Sciences or related field, or equivalent combination of education and related experience.
- 3–5 years of experience in project/program coordination or management in a health or research environment, particularly supporting analytic reporting, data products, or multi stakeholder initiatives.
- Demonstrated experience coordinating meetings, stakeholder engagement, and multi partner projects.
- Experience supporting data request intake/tracking or data access processes (triage, feasibility assessment, tracking timelines) is an asset.
- Comfort with basic quantitative materials (ability to read and summarize analytic findings); experience with data visualization or infographics is an asset.
- Familiarity with CIHI products, health system data, and health sector stakeholders is an asset.
- Strong project coordination and organizational skills; attention to detail.
- Excellent written and verbal communication and interpersonal skills.
- Strong stakeholder/client-service orientation and ability to manage competing priorities.
- Good judgment, initiative and ability to work independently in a matrix environment.
- Strong facilitation and meeting-management skills.
- Analytical thinking and ability to synthesize information for different audiences.
- Ability to adapt to changing priorities and to reprioritize work quickly.
- Knowledge of the health care system.
- Experience with records management tools (OneDrive, SharePoint), MS Office suite (Word, Excel, PowerPoint, Outlook), and project management tools (MS Project, PMO tools including Gantt charts).
- Experience with CRM, intake/tracking systems and web conferencing platforms (e.g., Adobe Connect) is an asset.
