Project Coordinator (Full Time) - St-Laurent, QC

This role provides essential administrative, operational, and technical support for project coordination, customer service, and field operations. Key responsibilities include assisting with project estimates, auditing work orders, preparing quality documentation, and maintaining remote telemetry device records. The position manages technician scheduling, customer maintenance calls, site inspections, and training compliance, including safety and certification requirements. Additional duties include processing invoices, reconciling expenses, preparing monthly cost reports, managing MSDS and ACMS compliance, coordinating fleet maintenance, and handling daily office administration such as timecards, mail, supplies, and inbound communications. This role ensures smooth workflow across projects, safety programs, and customer service activities.

Key Accountabilities

  • Assist with project Estimation creation for rehabs (shop & field), equipment Changes, new Installs & removals
  • Review workorders and audit for cost reporting /allocation, workorder closure
  • Create and maintain Remote telemetry device entries in the RTU Database
  • Prepare all quality documents for Shop Rehabilitations and ensure all tool calibration complies
  • Oversees training requirements to ensure brazing & welding certificates are current for all techs
  • Prepare Customer Service sale submissions on internal share point
  • Answer and direct inbound calls
  • Process vendor invoices and assist with requests for invoices, statements, packing slips, POD’s and other
  • documents as needed
  • Monitor and answer e-mail inquires; sort and process incoming/outgoing mail; manage office supplies
  • Prepare employee timecards and timecard labels, manage vacation approval process
  • Prepare monthly reconciliation of costs for projects and rehabs
  • Ensure MSDS Document Compliance & accuracy of reporting to the Ministry of Environment
  • Manage non-commercial fleet including monthly reporting & maintenance compliance
  • Review all permit-to-work forms with technicians & ensure compliance and training
  • Complete Job Safety Observations
  • Assist with cost re-classification for capital projects
  • Prepare Customer Service sale submissions on internal share point
  • Complete Credit Card reconciliation, coding expenses to projects and submitting for approval monthly
  • Manage ACMS Reporting process to ensure all compliance & safety requirements are met for the location
  • Handling maintenance calls from our customers
  • Daily/Weekly scheduling of our technicians
  • Scheduling customer site inspections
  • Handle remote telemetry system

Education

  • Technical college or CEGEP degree preferred or Bachelor degree in a technical field
  • Bilingual (French/English)

Experience

  • 3-5 years of related industry experience in the industrial gases or refining/chemicals sector.
