Trillium Lakelands District School Board (TLDSB) invites applications for the position of permanent full-time Human Resources Assistant.

Who we are

Encompassing the municipalities of the City of Kawartha Lakes, Haliburton County, and the District Municipality of Muskoka, TLDSB is dedicated to the success of each student. With approximately 17,000 students and 3,000 staff members, TLDSB has 40 elementary schools, seven secondary schools, and six adult and alternate education centres. The Board also offers online learning accessed worldwide through its Virtual Learning Centre.

Purpose of Position:

Reporting to the Senior Manager of Human Resource Services, the incumbent in this position performs a broad range of administrative and support functions to the Human Resources Department. The Human Resources Assistant provides support within the functional areas of labour relations and attendance support; in addition to overseeing file/records management and assisting with administrative duties associated with HR related projects and programs.

This position requires a high degree of confidentiality and discretion as the duties require access to confidential and sensitive information that may impact various stakeholders. Information seen and used by the position includes documents that may deal with sensitive and personnel matters internal to the Board.

Duties/Responsibilities:

  • Provides administrative and clerical support to general HR processes and/or HR projects as assigned.
  • Maintains and updates employee records, in both digital and physical formats, ensuring the accuracy, confidentiality and integrity of information in accordance to applicable legislation.
  • Supports with the storage, retrieval and archiving of employee records, coordinating off-site storage in compliance with records retention legislation.
  • Assists in the preparation and maintenance of confidential and sensitive labour relations materials which includes but is not limited to tracking grievances, compiling information related to grievances/arbitrations/negotiations, drafting routine responses or correspondence, scheduling grievance meetings, maintaining up-to-date grievance files, assist with research.
  • Generates reports, supports in the preparation of correspondence and ensure accurate and up-to-date records and tracking related to the Board's Attendance Support Process
  • Supports in the maintenance of departmental email accounts, responding to employee queries in a timely and professional manner and referring/escalating to the appropriate staff.
  • Maintains and updates shared drives and resources.
  • Takes notes/minutes at meetings.
  • Other related duties as assigned.

Minimum Education and/or Work Experience Requirements:

  • 2 year post secondary human resources diploma/certificate, business administration or related discipline.
  • 1 year of related work experience in human resources
  • experience in a unionized environment preferred
  • experience with HRIS preferred
  • experience with HR policies, practices and collective agreement preferred

Required Knowledge and Skills

  • Excellent verbal and written communication which includes ability to effectively write and proof read
  • General working knowledge of technology and Board approved software/programs including Atrieve, Parklane, Google Docs
  • Proficient in MS Office Suite including word and excel
  • Strong organizational and time management skills
  • Strong attention to detail and ability to ensure accuracy of work
  • Ability to recognize, handle and project highly sensitive and confidential information
  • Ability to research within a general framework
