Job Description:

Position Purpose summary:

The Volunteer & Program Coordinator provides support to the Director, Community Services, coordinating delivery of all required volunteer administrative support services in a cooperative and

team-based environment, overseeing many volunteers for three (3) busy sites, Cawthra, Collegeway, and Meadowvale for the Mississauga Community Church. The incumbent will organize and coordinate all volunteers and volunteer efforts; perform daily tasks related to volunteer administrative operations and respond to volunteer inquiries. They also act as a liaison/facilitator and where applicable deliver various CS programs, presentations, and networking opportunities, as directed by the Director, Community Services and represent The Salvation Army and its programs and services, when required.

ACCOUNTABILITIES:

Volunteer Coordination

  • Responsible for the recruitment, orientation, scheduling, for all community volunteers and service groups; monitor the performance of all volunteers to ensure high quality services are provided to our clients and other departments.

  • Demonstrate work methods and ensure that they work together to achieve the purpose of the organization and enhance the ministries of The Salvation Army.

  • Assist in the development of goals, objectives, for volunteer development and the implementation and review of the volunteer program policies and procedures.

  • Assist the Director, Community Services with yearly strategic volunteer plans.

  • Prepare and distribute monthly CS volunteer schedules ensuring adequate coverage.

  • Ensure divisional/territorial standards are followed by all volunteers.

  • Ensure TSA volunteer standards and policies are upheld.

  • Responsible for reporting any issues/concerns/problems as per policies and procedures to the Director, Community Services.

  • Represent the Director, Community Services, for volunteers check ins, site orientations and general enquiries.

  • Assist with developing volunteer role assignment descriptions and other appropriate materials to guide volunteers in their overall performance.

Programming

  • Assist with the annual camping ministry program through registration to bussing campers and completion of the seasonal program in coordination with front line staff.

  • Oversee the Anger Management adult program overall activities, from signing up clients to ensuring a coordination of intended outcomes through the program teacher.

  • Plan, run and execute the seniors Forever Young Inside (FYI) program.

  • Oversee the interviewing and coordination of the practicum college students’ placements; orientate, train, guide, supervise, support and provide feedback/evaluate performance during placements; ensure that students are provided with an effective learning environment and facilitate their integration into the workplace

  • Assist with the distribution and pick up of Christmas kettles, as well as additional supplies and equipment necessary for the annual Christmas Kettle campaign.

  • May assist with other Community Services programs as required.

Administration

  • Create and assist in presentations promoting volunteer opportunities to businesses, schools and the public as required.
  • Ensure that volunteers receive, complete and return all onboarding documents in timely manner; collect/store/maintain all required volunteer paperwork in keeping with Salvation Army policies and procedures; ensure that background checks, driver’s abstracts, and the required organizational training are up to date.
  • Provide documentation of completed volunteer hours to volunteers, upon request.
  • Responsible for various correspondence, newsletters, and utilize the latest technology including social media and other tools to recruit volunteers.
  • Ensure confidentiality is maintained in accordance with TSA Operating Policy and applicable legislation.
  • Ensure effective and accurate management of inbound and outbound of volunteer emails.
  • Maintain accurate records of group volunteer opportunity planning, a working list of contacts, connections and community partnerships.

Health and Safety:

  • Provide orientation of Health and Safety measures to volunteers.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Perform other related duties as required.

WORKING CONDITIONS:

  • This is a regular full-time position based on 35 hours per week
  • Flexibility in scheduling is required and will vary according to the needs of the children and youth ministries, including weekday, weekend, and evening work
  • The work environment is typically in a general office setting in generally agreeable conditions with the following exceptions: dealing with difficult people.
  • Ability to lift/move objects on a regular basis up to 25 pounds without assistance.
  • This job requires involves working in a standing position for extended periods of time, lifting walking, carrying, sitting, reaching, bending, and twisting.
  • Some travel up to 5% of the time is associated with this position; using the Ministry Unit program vehicle as directed for seasonal programming.

Normal Hours of Work: 8:00 a.m. to 4:00 p.m. Monday, Tuesday and Thursday; 8:00 a.m. to 7:00 p.m. Wednesday and 8:00 a.m. to 12:00 p.m. Friday and includes a 1-hour unpaid meal break where applicable. The supervisor will set the hours of work and schedule

Education, Qualifications and Certifications:

  • Completion of a formal post-secondary program of two academic years preferably in Volunteer Management.
  • Valid Ontario Class “G” Driver’s License, personal vehicle required with valid insurance, a current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required

Experience and Skilled Knowledge Requirements:

  • At least three (3) years of previous related experience including volunteer management and supervisory experience.
  • At least one (1) year of previous experience with broader community engagement.
  • Previous experience in volunteer coordination and office management, preferably in a non-profit environment.
  • Proficient in a computerized environment; must have strong skills using Microsoft Office Suite and the use of social media.
  • Well-developed interpersonal and relationship-building skills; ability to establish rapport and excellent communication with church members and volunteers from diverse backgrounds.
  • Administrative, general clerical and Customer Service.

Alternative combinations of education and experience may be considered.

  • Sensitivity, awareness and understanding of participant needs, problems, interests, skills, deficiencies, and idiosyncrasies; the ability to work with compassion and demonstrate a supportive, respectful, and non-judgmental approach to program participants.
  • Strong organizational and time management skills with the ability to complete assignments and meet deadlines with minimal supervision.
  • Lead by example, by demonstrating a positive attitude and a strong work ethic.
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Compensation:

The target hiring range for this position is $44,535.40 to $55,673.80 with a maximum of $66,812.20.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
