Rate of Pay: Payband I (Start Rate: $40.39 per hour, plus 8% in lieu of vacation and benefits)

Job Summary

Reporting to the Manager, Special Events and working as part of the Special Events team, the Special Events Coordinator delivers expertise and leadership in planning and executing major events across all Mohawk College campuses. The role oversees the full lifecycle of a wide range of on- and off-campus events hosted by the College, the President, the Board of Governors, and external partners, and leads the planning, development, implementation, management, and evaluation of each initiative. The coordinator ensures every event aligns with the College’s high standards for brand and image, and serves as a key front-line ambassador, representing the institution while collaborating with internal and external stakeholders on logistics, planning, and execution.

To be compliant with the Acceptance of Payment Card Policy and PCI Requirements, this position is required to provide a Police Check prior to the commencement of employment.

What you’ll be doing:

Events Planning

  • The incumbent coordinates, plans, develops, implements, monitors and evaluates critical path action plans for local, provincial, national and international events at all 3 campuses, including those hosted by Mohawk College and those hosted by external clients in partnership with Mohawk, the President and the Board of Governors.
  • Working with the Manager, Special Events the incumbent develops new initiatives to promote and celebrate Mohawk College to internal departments and to a variety of public and private sector external communities, at the local, provincial, national and international level.
  • Working with the Manager, Special Events, the incumbent provides leadership for a specific event portfolio within the college. These events can include: Convocation Ceremonies, President’s Kick-off, internal conferences, President’s Golf Classic, events supporting internal college departments, etc.
  • The incumbent is also a consultant to external clients who are planning sponsored events on campus in partnership with Mohawk College, including not-for-profit and private sector organizations.
  • Working with the Manager, Special Events, the incumbent plans, develops, and continually monitors a yearly schedule of events.
  • The incumbent plans, coordinates, and implements, the planning activities with a team of college employees (maintenance, catering, parking, security, marketing, academic areas, etc.), internal and external suppliers, and students to provide a high quality of service, while implementing professional events from concept to completion, ensuring a myriad of related details are effectively and appropriately achieved.
  • Working within the constraints of college policies and procedures, as well as departmental planning budgets (revenue and expenses planning) the incumbent will follow protocols for events in conjunction with other internal College departments, faculties, schools, Advancement and Alumni, student government and contract clients, as well as external partners (VIPs, community organizations, government, private and public sectors), to ensure effective staging of events and appropriateness of events to the promotion of Mohawk’s overall image.
  • The incumbent ensures that all events are AODA compliant by requesting and arranging closed captioning, sign language interpreters etc, when required.
  • The incumbent always ensures that the integrity and reputation of the college are positively maintained.

Events Implementation

  • To ensure maximum attendance and participation, the incumbent prepares professional events-related correspondence, critical paths, documentation, reports, event outlines, budgets, invitations, promotional announcements and post-event analysis and evaluation. The incumbent manages assigned events by: booking space for dinners, meetings and accommodations, promoting events internally and externally, booking all services required to complete the events including food services, bar services, audiovisual, information technology, entertainment including musicians, security, parking, room-setup, cleanup, switchboard, etc.
  • Working closely with communications and marketing, the incumbent coordinates events communications plans and produces promotional material to attract the widest relevant audience to support and promote events, e.g. print and electronic invitations, (invitation lists, guest lists, RSVP’s web announcements and publicity, Facebook, Linked IN and twitter promotions, events scripts, and internal and external signage and security plans.
  • Working with Advancement and Alumni, provide guidance and review on establishing sponsorship opportunities and packages for various large-scale events, in particular, college-hosted conferences.
  • The incumbent provides on-site supervision at all special events they are leading and supports other events when necessary.
  • Working with the Manager, Special Events, the incumbent ensures events are at the highest appropriate standard of quality, including those involving elected officials, the President and the Board of Governors.

Events Evaluation and Financial Reconciliation

  • The incumbent assists with monitoring all campus events and events scheduling to ensure complementary rather than conflicting planning and to ensure the widest awareness of all events by all staff as appropriate.
  • The incumbent generates event specific budgets, authorizes all purchase orders and prepares detailed information for invoices and charges back for events held at Mohawk, as well as arranges for paid services and materials needed for successful execution of events, including payroll for part-time and contract employees and students, rental companies, food services and entertainment.
  • The incumbent prepares post-event evaluations to ensure appropriate record keeping for event statistics to assist with future event planning.

Other Duties as Assigned

  • Assists frontline customer service and event planning for events related to Conference Services, Alumni, Public Affairs, and Student Services as required.

What you’ll bring to the role:

  • A minimum of two-year post-secondary education in disciplines such as Events, Hospitality, preferably with a public relations or special events management emphasis, including project management and conference organization; or equivalent combination of education and experience.
  • Minimum of five years coordinating quality corporate or major events.
  • Stova Event Registration experience would be an asset.
  • Must be proficient in MS Office.
  • Must have knowledge of the Occupational Health & Safety Act and event liability insurance.
  • Must be willing and able to work extended hours, including evenings and weekends, to meet operational demands.
  • Comfortable maintaining productivity and focus during long shifts in a fast-paced environment.
  • This role may require physical activity at times, including standing for extended periods, lifting, and moving materials as needed.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
