As a Project Coordinator with the Calgary Transit Project Management Office, you will support the efficient, consistent, and compliant delivery of capital and operational project portfolios. You will provide project coordination and controls, communications, documentation, and logistical support that assists in achieving program and project goals and objectives according to established scope, schedule, budget, and regulatory requirements. Primary duties include:

  • Coordinate and support Project Managers (PM) across Calgary Transit (CT) projects to ensure work progresses in alignment with established scope, schedule, budget, quality and Corporate Project Management Framework (CPMF) requirements.
  • Maintain accurate project records and ensure timely updates to Program and Project Management (P2M) scheduling and other reporting modules.
  • Consolidate project information for dashboards, monthly reporting cycles, and presentations to internal and external partners.
  • Manage documents and records in accordance with CT and City of Calgary Corporate standards.
  • Contribute to the creation of cost summaries, assist with invoice verification and ensure financial data is accurate.
  • Interpret cost trends, forecasting requirements, and identify corrective actions within a Project Budget.
  • Support updates of project schedules, monitor progress, and assist with analyzing schedule variances and impact.
  • Create and update decision management logs to assist with analysis, monitoring, and controlling of projects.
  • Coordinate communications and workflow among internal teams, consultants, contractors, business partners, and governance bodies.
  • Facilitate meetings, capture action items, follow up on commitments, and ensure consistent flow of information.
  • Update PMs on scheduling, costs, risks, and project progress.
  • Lead the coordination of CT's Project Review Board (PRB) and Stage Gate processes.
  • Prepare documentation packages, track deliverables, schedule review sessions, and ensure submissions meet CPMF expectations.

Qualifications

  • A completed 2-year diploma in Project Management, Business Administration, Construction Management, or a related field with at least 5 years of experience in project management and/or contract administration.
  • A completed certification as a Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) is required.
  • A valid Class 5 Driver's License (or provincial equivalent), with no more than 6 demerits and no current suspensions or charges pending OR a valid Graduated Driver's License (GDL) with no more than 4 demerits and no current suspensions or charges pending is an asset.
  • Demonstrates strong facilitation, planning, prioritization, and organizational skills to manage competing priorities and meet challenging deadlines.
  • Exhibits effective time-management and organizational skills with a strong attention to detail and the ability to work independently with minimal supervision.
  • Communicates clearly and professionally with the ability to influence without formal authority, exercise sound professional judgement, mange conflict, and apply strong business acumen.

Workstyle

  • This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

Position Type: 1 Permanent

Compensation: Pay Grade 9 $41.49 - 55.51 per hour

Hours of work: Standard 35 hour work week.

Days of work: This position works a 5-day work week with 1 day off in a 3 week cycle.
