Estimator/Project Coordinator (Onsite)

Position Overview
We are seeking a highly organized, detail-oriented, and customer-focused Estimator/Project Coordinator to support projects from initial inquiry through to delivery and closeout. This is a fully onsite role based at our Thorndale, ON office. The position blends estimating, inside sales support, and project coordination responsibilities, making it well-suited for someone who thrives in a fast-paced environment and enjoys managing multiple priorities while working closely with customers and internal teams.
Key Responsibilities
Estimating & Sales Support
- Prepare accurate material, labour, and engineering cost estimates based on tender documents, plans, and specifications
- Respond to customer inquiries in a timely, professional manner, providing solutions and technical support
- Assist with bid searches, lead generation, CRM updates, and customer follow-ups
- Collaborate with Sales and Engineering teams to assess project fit and scope
- Evaluate indirect costs, contingencies, and escalation factors in estimates
- Present estimates and participate in internal review meetings
- Maintain organized documentation supporting estimate calculations and supplier pricing
- Support contract negotiations, change orders, and smaller direct sales opportunities
- Attend occasional site visits, pre-tender meetings, and site walks as required
- Build and maintain strong relationships with customers and internal stakeholders
Project Coordination
- Coordinate projects through all stages: planning, scheduling, execution, and closeout
- Act as a liaison between clients and internal teams to define scope, timelines, and deliverables
- Work closely with Sales, Engineering, Project Managers, Operations, and subcontractors to ensure project success
- Prepare and maintain project documentation (proposals, purchase orders, reports, meeting minutes)
- Monitor budgets and support cost control, invoicing, and procurement processes
- Identify risks early and support practical, cost-effective solutions
- Resolve technical, contractual, and change order issues efficiently
- Support resource planning with manufacturing and materials teams
- Contribute to process improvements and development of standard operating procedures
- Promote a collaborative team environment
Logistics & Delivery Support
- Coordinate with manufacturing and operations to maintain schedules
- Assist in resolving delivery and scheduling issues
- Provide occasional on-site support, including pre-construction meetings
Qualifications
- Post-secondary education in Construction Management, Civil Engineering, or a related field
- Certification such as C.E.T., C.Tech., or E.I.T. is considered an asset
- Experience in estimating, project coordination, inside sales, or construction administration
- Strong organizational and time management skills with the ability to handle multiple deadlines
- Excellent communication and customer service skills
- Strong analytical and problem-solving abilities
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with ERP systems, CRM tools, or project management software is an asset
- Knowledge of AutoCAD or similar tools is an asset
- Understanding of civil construction products and tendering processes is preferred
- Ability to work independently and collaboratively in a team environment
