Marketing Administrative Assistant
About the role
Egg Farmers of Canada (EFC) is seeking a Marketing and Nutrition Administrative Assistant to join the Marketing and Nutrition team in a fast-paced, challenging, and exciting work environment. Reporting to the Chief Marketing Officer, the Marketing and Nutrition Administrative Assistant will support the Marketing and Nutrition department with the execution of various consumer marketing and nutrition programs.
This position is ideally suited for an organized and detail-oriented administrative professional or an aspiring marketer.
Duties and Responsibilities:
Administrative support
- Plan and coordinate meetings, events, conferences, and trade shows by identifying, assembling, and planning requirements
- Develop, format, proofread and distribute presentations and reports from meetings, workshops, and conferences; verifying the information from both internal and external sources
- Participate in, and record minutes from meetings for committees, and workshops
- Book travel and accommodation for the Marketing and Nutrition unit. This may extend to other staff, directors, and stakeholders
- Manage the Marketing unit budget by tracking invoices and approval processes, leading purchase order creation and organization, assisting in variance report analysis as well as Emburse tracking, generating reports and verifying information
- Manage all expenses for the Marketing and Nutrition unit
- Work closely with the Finance unit and outside suppliers to create, process, and close purchase orders to manage tracking, budget management, and review of quarterly variance reports
Data management and mobilization
- Format sales data and other research for reporting, distribution purposes and Tableau dashboard integration
- Build and showcase Nielsen reports for Monthly Topline reporting, Egg and carton size data, pricing data, and other miscellaneous requests for internal or external use
- Track market trends, consumer behaviour and demographics, and prepare reports by collecting, analyzing, and summarizing data for internal and external stakeholders
- Contribute to the development and continual improvement of data reporting, environmental scanning, analysis, forecasting, and presentations
- Perform maintenance and updates to various Sharepoint sites, websites, and online stores
Stakeholder engagement

Manage and oversee provincial funding programs, as well as agreements and document management for community partnerships

Support execution of marketing plans and tactics to maintain the integrity and the awareness of the Get Cracking® and Egg Quality Assurance™ (EQA®) brands

Manage the maintenance and development of internal tools, online Shopify store, warehouse management system, and Sharepoint intranet sites

Respond to stakeholder inquiries including consumer, health professionals, and industry stakeholders.

Manage warehouse and office inventory of print resources and promotional items
Other duties as required
Qualifications and Skills:

Thorough knowledge of tools, processes and approaches related to office administration
-
Knowledge of data management, analysis and reporting
-
Knowledge of print production and promotional items
-
Strong command of various data analytics and software applications (Microsoft Office, social and digital media platforms, Nielsen, IPSOS, Tableau, Excel, PowerPoint)

Ability to effectively manage programs, timelines, and budget
-
Excellent organizational skills with ability to multi-task and manage multiple deadlines
-
Ability to be forward thinking – organizing materials and workback schedules for meetings and events
Education and Experience:
-
University Degree or College Diploma with a focus in office administration, marketing, communications, or equivalent experience
-
2-3 years’ experience in a related administrative role with a customer service component
-
Bilingualism (English/French) is an asset
Working Conditions:

A standard workweek schedule with occasional after-hours availability required, working in a fast-paced environment with tight deadlines
-
Frequent interactions with vendors and stakeholders
-
Position requires prolonged periods of sitting, use of a computer, and close attention to detail
-
Position involves occasional access to sensitive information, requiring discretion and confidentiality
