Location: Toronto

Compensation: $55,000 - $65,000

The compensation range disclosed represents an estimate of base salary and does not include discretionary bonuses or any overtime pay

Candidate Profile

The Business Development Administrator provides essential coordination and support to RJC’s Engineering team through business and marketing functions. This role is ideal for a highly organized, proactive new graduate or early career professional who is passionate about client development, market research, and supporting strategic pursuits. The Administrator will help monitor opportunities, coordinate BD activities, prepare client facing materials, assist with research, and support ongoing relationship building efforts. This role offers significant exposure to senior leadership, project teams, and cross functional collaboration.

Key Responsibilities

Duties include, but are not limited to:

Functional Knowledge

  • Track timelines, deadlines, and submission requirements for business development pursuits.
  • Update and maintain CRM records, including client interactions, pursuit status, and pipeline notes.
  • Assist with gathering project information, resumes, and content needed for proposal teams.
  • Work with senior leadership to identify themes associated with win strategy and craft project pursuit value proposition copy to help sell RJC’s expertise.
  • Maintain shared BD and Marketing resources (project sheets, bios, images, databases) and bid searching opportunities.
  • Conduct basic market, client, and competitor research to support BD planning.
  • Prepare supporting materials for BD meetings, outreach, and client engagement activities.
  • Coordinate marketing deliverables from intake to completion, including timelines, reviews, approvals, and version control.
  • Maintain leads in databases and shared systems through accurate updates, record-keeping, and quality checks.

Business Acumen

  • Support BD leads in planning outreach, client follow‑ups, meeting preparation, and supporting proposal documentation control oversight.
  • Track and report on BD activity metrics, including proposal outcomes and pipeline updates.
  • Contribute insights to enhance BD processes, documentation, and workflow efficiency.
  • Assist in planning and coordinating client‑facing events, conferences, fundraisers, and networking sessions.
  • Apply business judgment and discretion when handling client records and supporting pursuit strategies.
  • Build understanding of consulting engineering markets, procurement trends, and RJC service areas.
  • Collaborate with regional marketing teams and internal departments to align key messaging, deliverables, and rollouts with firm priorities.

Leadership

  • Demonstrate initiative by proactively identifying opportunities, follow‑ups, and upcoming deadlines.
  • Maintain professionalism and strong interpersonal skills when interacting with clients and internal teams.
  • Exhibit accountability in managing tasks, documenting outcomes, and ensuring timely coordination.
  • Uphold RJC’s standards for communication, branding, and client service in all BD materials.
  • Model reliability, discretion, and sound judgment when handling sensitive business information.

Professional Qualifications

EDUCATION

  • Degree or Diploma in Business, Marketing, Commerce, Communications, or a related field.
  • MBA is an asset but not required.

CERTIFICATIONS & LICENSES

  • Must meet the criteria for obtaining federal Reliability status.

EXPERIENCE

  • 0–2 years of experience in business development, marketing, research, administration, or coordination.
  • Experience in engineering, architecture, construction, or consulting environments is an asset.

SKILLS

  • Strong proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint).

  • Familiarity with CRM platforms is an asset.

  • Comfortable conducting online research and synthesizing information.

  • Strong written communication and organizational skills.

  • Detail‑oriented, organized, and able to manage shifting priorities.

  • Clear, professional communication (written and verbal).

  • Collaborative and able to work well across departments.

  • Proactive, resourceful, and eager to learn.

  • Strong interpersonal skills and professionalism with client‑facing work.
