Qualifications

MINIMUM FORMAL EDUCATION/TRAINING:

  • Completion of bachelor’s degree or equivalent combination of education and experience.

EXPERIENCE:

  • Minimum one-year of directly related experience in a post-secondary environment, required.

  • Experience working with student information systems, academic calendar systems or content management systems, required.

  • Experience coordinating administrative functions, required.

  • Experience working with others in a deadline driven environment, required.

  • Experience working with student fees and tuition, preferred.

  • Experience interpreting academic calendar course and curriculum content, preferred.

  • Experience writing protocols and delivering training, preferred.

  • An acceptable equivalent combination of education and experience may be considered.

Key responsibilities

  • Enters annual Academic Calendar content to calendar content management system as approved by University Senate. Coordinates similar work of select faculty representatives at the graduate and undergraduate levels.
  • Coordinates proof-reading/link testing work of approximately seventy faculty contacts, by organizing annual meetings, creating protocols, setting deadlines, and granting system access. Provides direction and advice for content, style, and organization of information.
  • Sets up content approval workflows and assigns roles in the calendar content management system to ensure the information submitted has been reviewed by the appropriate individuals.
  • Works with the TAS Analyst team (cross-unit team of Functional Analysts, Operations Analysts, Degree Audit Analysts and Assistant Analysts) on annual curriculum and course change updates in RO systems.
  • Creates a printable (PDF) version of the Academic Calendar and arranges maintenance of the Academic Calendar website and Intranet resources. Archives former calendars on website.
  • Works with the Marketing and Communications Office (MCO) to ensure that the Academic Calendar meets university style criteria.
  • Is responsible for investigating issues in the functional areas of the software. Works with TAS Analysts, the vendor and UM technical team when technical problems occur.
  • Develops a broad up-to-date knowledge of the calendar content management software and how changes in Banner relate to the calendar system through individual study provided by the software vendor. Assists TAS Analysts when changes/upgrades to Banner software occur.
  • Performs regular maintenance of the calendar content management software (rolling calendar from year to year, testing links, etc.). Tests calendar software upgrades and interfaces.
  • Orders download of courses from Banner to the calendar software. Checks to ensure download of course data is complete and accurate and collaborates with TAS Analysts and IST to resolve issues.
  • The incumbent oversees administration of tuition fee appeals. Ensures tracking and packaging of submitted appeals, arranges meetings, corresponds with students who have questions or need to clarify their appeal. Attends meetings, participates in decisions, and acts as recording secretary. Communicate results.
  • Ensures processing of successful appeals.
  • Provides training and support on fee calculations and refund processing.
  • Compiles re-appeals for review by the second level committee.
  • Creates statistical reports.
  • Work collaboratively with RO Functional/Operations Analysts and Senate Secretary’s office to identify opportunities to improve business processes and initiate action to implement change.
  • Tests key areas and functions of Aurora and other RO software related to yearly maintenance, version upgrades, software patches, business process changes, and the implementation of customizations.
  • Participates fully in re-development projects and provides support to TAS Analyst team.
  • Identifies and reports software defects to the TAS Analyst team. Assists in the identification of problem source and implementation of solution. Prepare support tickets for submission to UM IST or software vendors.
  • Provide support for supplemental RO systems such as ID System, Banner Document Management System, Workflow and UM Achieve.
  • Enter rules into control forms such as student status, courses, course equivalencies, and prerequisites.
  • Works with Assistant Analyst – Course and ID System Coordinator and Information Coordinator.
  • Troubleshoots ID system, answers questions, refers to RO Operations Coordinator.
  • Writes web content, assists with proof reading, writes answers for FAQs, writes mass emails.
  • Attends temporary pop-up ID centres and oversees services, produces ID cards, and performs other related duties.
  • The incumbent supports UM convocation activities such as assisting with parchment distribution and marshalling students at convocation ceremonies.
