What you’ll do
Reporting to the Director, Major Gifts, the Philanthropy Assistant will be a key member of our Major Gifts team, responsible for providing support to the Major Gifts team in engaging donors and raising funds for BCCHF. The position is pivotal in building and maintaining strong partnerships both internally and externally and is often the front-line contact for the department with Foundation colleagues and with donors. The work in this role will contribute to the smooth functioning of fundraising initiatives and the day-to-day success of our major gifts team.
More specifically, you will:
- Support the fundraising activities of the Major Gifts team by coordinating donor meetings, preparing briefing and debriefing notes, ensuring actions identified in meetings are followed up on, and creating/preparing materials for meetings
- Manage team calendars and coordinate internal and donor meetings, including scheduling, agenda support, and capturing clear meeting minutes with action items to support team alignment and accountability
- Provide administrative support for the Major Gifts team, including ordering supplies, submitting expense reports and maintaining the department budget
- Prepare a variety of personalized written correspondence for donors to ensure donor stewardship activities are carried out promptly
- Assist in the coordination of personalized stewardship and recognition activities, including developing recognition materials, coordinating impact reports, organizing donor meetings, and reviewing mailing lists
- Work closely with the Major Gifts team to deliver exceptional service to donors as well as key internal and external stakeholder groups, including hospital partners and senior volunteers, while respecting confidentiality in all matters
- Review donor prospect lists, manage data hygiene and make recommendations on next steps and actions that could advance the donor relationships
- Maintain donor records in Raiser’s Edge NXT database, proactively inputting notes, actions, proposals, gift agreements and reporting requirements, and ensuring information/actions are brought forward as needed.
- Perform other related duties as assigned to support team priorities.
What you bring

- A Diploma or Degree in Marketing, Science, Arts, or Business Administration or Associate Certificate in Fundraising
- Minimum of two years of administration experience, experience in a non-profit environment is considered an asset, or an equivalent combination of education, skills, and experience.
- Strong communication skills, with the ability to draft, proof, and edit a range of written materials
- Advanced computer literacy skills with Microsoft Office applications applied to the preparation of documents, and with databases (Raiser’s Edge experience is an asset).
- Ability to efficiently organize and manage a diverse range of assignments while meeting multiple deadlines, along with thorough attention to all details and consistent with follow through.
- Experience assisting with events.
- Strong ability to follow through on tasks with accuracy and initiative, while working effectively in a collaborative, team-oriented environment
- Professional demeanor with an ability to handle sensitive and confidential information appropriately and with discretion
- A flexible schedule which allows for occasional after-hours and meetings.

The hiring range for this position is between $51,070 and $57,000. At BCCHF, we are committed to ensuring that compensation is fair and equitable. Your placement in the salary range will be determined by your experience, relevant skills, and qualifications as they relate to this role.
