WHAT’S THE TEAM LIKE

The Safety, Security, Compliance, and Emergency Response team ensures the safe and secure operation of Calgary International and Springbank Airports. This team plays a critical role in regulatory compliance, emergency preparedness, and operational assurance, directly impacting the airports’ efficiency and safety. Their work supports the strategic goals of the organization and ensures a safe environment for all stakeholders.

WHAT ARE SOME OF THE RESPONSIBILITIES

  • Provide administrative support for the Safety, Security, Compliance & Emergency Response division, which may include:
    • Typing of letters and memos
    • Drafting correspondence
    • Calendar management for department leadership (and follow-up)
    • Create and maintain spreadsheets for various projects
    • File and records management (e.g. project documentation, invoice tracking, etc.)
    • Care and servicing of office equipment, including justification to order new equipment or furniture
    • Complete expense claims for department senior leaders, including credit card reconciliations
    • Desktop publishing for necessary documents (e.g. brochures, manuals, slide presentations for board/management meetings, public meetings, etc. And miscellaneous projects)
    • Plan and coordinate special events
  • Department budget and expenditures tracking related to O&M and capital charges. Track purchase orders, order entries, and invoices. Verification of invoices, ensure proper charging, clarifying incorrect invoice amounts and confirming correct coding.
  • Administrative Support for the department Senior Leaders as required including arranging meetings, booking meeting rooms, contacting and inviting attendees, preparing agendas, arranging catering, attending and transcribing minutes, and meeting minutes distribution within 48 hours.

WHAT DO YOU NEED TO BRING

  • Minimum of a high school diploma (G.E.D) is required.
  • 0–1 year of relevant experience in an administrative, technical, or support role, or a combination of education and practical experience that demonstrates readiness for the role.
  • Proficiency in Microsoft Office applications (including Word, Excel, Outlook, and PowerPoint) with the ability to prepare documents, maintain spreadsheets, manage email and calendars, and support routine administrative and reporting tasks.
  • Strong organizational and interpersonal skills with the ability to manage multiple tasks, remain focused amid frequent interruptions, and interact professionally and effectively with internal and external stakeholders.
  • Professional communication and confidentiality skills with the ability to prepare, edit, proofread, and maintain business and technical documents while handling sensitive and confidential information in accordance with established policies and procedures.

WHAT ADDITIONAL SKILLS ARE AN ASSET

  • Bilingual in English and French
  • Experience in an airport or aviation environment.
