Administrative Assistant

21 to 25 hours per week – Start date immediate

$27.50 per hour

Location & Hours

Work location: On-site, at SORCe - 1944 10 Avenue SW Calgary, AB T3C 0J8. Some remote days may be possible.

Hours: 21 to 25 hours per week. The preferred schedule is three times a week (7 hours per day) or 5 days (5 hours per day). However, for the right candidate an alternative schedule may be considered.

About Distress Centre Coordinated Entry Programs

Distress Centre Calgary (DCC) delivers the Coordinated Entry Program (CEP) providing intake, assessment, and referral services that connect participants to housing and other essential supports. CEP staff focus on system navigation and service delivery, including applications, referrals, and follow-up.

What to Expect:

The Administrative Assistant plays a key role in supporting both frontline service delivery and day-to-day administrative for the Coordinated Entry Program. This position helps ensure the smooth functioning of a dynamic, high-volume, multi-agency environment by organizing administrative processes, maintaining office systems, and supporting staff to focus on participant service.

This role requires strong organization, adaptability, and the ability to manage competing priorities.

Key Outcomes:

  • Support consistent and efficient service delivery by ensuring administrative systems, supplies, and processes are well organized and maintained.
  • Contribute to a safe, welcoming, and well-functioning environment for staff and program participants.
  • Improve workflow and consistency by maintaining clear documentation, communication channels, and office systems.

What You’ll Do:

Office Administration

  • Coordinate ordering, tracking, and distribution of office and program supplies, including basic needs items for program participants.
  • Coordinate mail, courier services, and general office logistics.
  • Support the upkeep and organization of shared spaces and equipment.

Administrative Coordination

  • Maintain and update office documents (e.g., contact lists, internal resources, and procedures).
  • Support document management, SharePoint organization, and file systems.
  • Assist with administrative projects and updates to manuals, processes, and onboarding materials.
  • Provide meeting support, including scheduling and minute taking as required.

Human Resources Coordination

  • Support the leadership team with recruitment and onboarding coordination, scheduling and documentation.
  • Assist the Team leads with staff scheduling and training coordination (e.g., CPR/First Aid/Naloxone).
  • Maintain and track swipe cards.
  • Communicate and Coordinate directly with the People & Culture team on staff arrivals, departures and changes.

Key Capabilities for Success

  • Demonstrated emotional resilience and the ability to stay grounded, compassionate, and professional when supporting individuals facing complex challenges such as housing instability, mental health and addiction, and financial hardship.
  • Comfortable working in a fast-paced, unpredictable frontline environment, with the ability to assess situations quickly, adapt to changing circumstances, and maintain personal and team safety.
  • Strong interpersonal and de-escalation skills, with a readiness to engage respectfully with diverse communities, including newcomers and individuals experiencing crisis, while managing stress and maintaining healthy boundaries.

What You Bring:

Qualifications & Experience:

  • Diploma or degree in a related field is an asset; equivalent experience will be considered.
  • 2 years of administrative experience, preferably in a nonprofit or human services setting.
  • Strong proficiency in Microsoft Office and general office systems.
  • Experience working in a fast-paced environment with competing priorities.
  • Ability to work independently and collaboratively.
  • Strong verbal and written communication skills.
  • Ability to follow policies, maintain confidentiality, and support inclusive practices.

Skills & Abilities

  • Strong organizational and time management skills with attention to detail.
  • Effective interpersonal skills and ability to build positive working relationships.
  • Adaptability and problem-solving in a dynamic environment.
  • Clear and flexible communication across different audiences.
  • Experience working within a multidisciplinary or collaborative setting is an asset.
  • Working in a fast-paced crisis environment requires de-escalation skills.
