About the role
Jr. Workplace Services Coordinator
- Ensuring a safe and functional work environment by overseeing and coordinating repairs and maintenance activities with vendors such as HVAC, plumbing, electrical and cleaners to ensure smooth operation of services in the office.
- Liaising with the property managers on building issues and events that impact the Enbridge offices.
- Addressing employee concerns and questions via email and in person related to requests and questions regarding the office space and services.
- Coordination of ergonomic equipment including ordering chairs and tracking requests in the internal system.
- Coding invoices in the Oracle finance tool for payment processing.
- Submitting monthly accruals in SharePoint for budget tracking.
- Providing guidance to team members as required for office services tasks to stock kitchen and meeting room supplies.
- Providing back-up coverage for other Workplace Services team members for days off and vacation coverage.
- Processing move lists and distributing move instructions to occupants, coordinating move with vendors to deliver bins, perform the physical move of bins.
- Coordinating floor commissioning for new leased space and decommissioning activities for a lease surrender.
- Conducting floor audits and walks to check conditions of space for safety and office service standards.
- Coordinating parking space allocation based on requests.
- Assist the Workplace Services team in supporting Edmonton locations.
- Balance multiple priorities while ensuring excellent customer service
Required:
- Minimum 3 years of experience in an applicable business-related environment.
- Strong relationship and interpersonal skills, adaptability, and flexibility.
- Strong customer service and communication along with the ability to multi-task
- Must maintain a high level of confidentiality and independent work.
- Strong interpersonal written and verbal communication skills are required.
- Proficiency of Microsoft Office Suite (Word and Excel)
- Proficient with Workplace Services Technology – Outlook, Elink, Sharepoint, Tango, Oracle
- Security Clearance is a requirement for this role.
- Working on-site in the office 5 days a week
Working Conditions:
- Fast-paced office environment with multiple, concurrent activities and projects.
- Some duties outside of traditional business hours as required to manage moves and maintenance (will be on a rotational basis with other team members).
