About the role

Position Overview
Reporting to the Fleet Manager, the Fleet Coordinator is responsible for coordinating day-to-day fleet requirements; repairs and preventative maintenance of Arctic Arrow’s fleet, ensure equipment availability, safety, and regulatory compliance. This role supports Alberta and BC operations and works closely with field teams, vendors, and Arctic Arrow leadership.
Occasional travel within Western Canada.
Key Responsibilities
- Coordinate preventative and corrective maintenance for fleet vehicles and equipment.
- Maintain compliance with Alberta Transportation, CVIP, DOT, and HSE regulations.
- Administer commercial vehicle inspection and maintenance programs.
- Manage fuel cards, reporting, and compliance controls.
- Coordinate insurance, licensing, and registration across multiple jurisdictions.
- Liaise with third‑party service providers, repair facilities, and vendors.
- Track maintenance costs, breakdown trends, PM schedules, and equipment availability.
- Support procurement of fleet vehicles, equipment, tools, and supplies.
- Maintain effective communication with operations to support job readiness and equipment availability.
- Maintain accurate fleet records, service histories, and regulatory documentation.
- Support fleet replacement planning and lifecycle management.
- Monitor warranties, recalls, and manufacturer service bulletins.
- Coordinate roadside assistance and breakdown response.
- Assist with incident, accident, and insurance claim reporting.
- Support fleet audits and internal compliance reviews.
- Identify opportunities for cost control, efficiency improvements, and standardization.
Requirements
- Minimum of 5 years’ experience in fleet maintenance.
- At least 5 years’ experience in a fleet coordinator, maintenance, or mechanic role.
- Proficient with Microsoft Office applications, including Excel, Outlook, and Word.
- Strong technical knowledge of both heavy‑duty and light‑duty fleet equipment.
- HET, Parts Technician, or Fleet Management certification considered an asset.
- Experience working in utility and/or construction environments preferred.
- Demonstrated strong organizational, communication, and vendor management skills.
- Ability to perform effectively in a fast‑paced, multi‑site environment.
- Valid Class 1 or Class 3 Driver’s Licence with Air Brake endorsement considered an asset.
