About the role
Field Ministry Administrator

Samaritan’s Purse Canada (SPC) is seeking a motivated and detail-oriented Field Ministry Administrator to join our Operation Christmas Child (OCC) department!
Samaritan’s Purse is a Christian international relief organization providing spiritual and physical aid to hurting people around the world. Since 1970, Samaritan’s Purse has helped meet the needs of people who are victims of war, poverty, natural disasters, disease, and famine with the purpose of sharing God’s love through His Son, Jesus Christ.
As the Field Ministry Administrator, you will provide essential administrative support to the Field Ministry Team, helping to grow and strengthen the CONNECT volunteer ministry across Canada. In this role, you will manage key databases and systems, coordinate volunteer processes such as onboarding and engagement, and support the planning and execution of events and meetings. You will also handle travel coordination, expense processing, and reporting, ensuring smooth day-to-day operations for the team. As an integral member of the OCC team, this role will help SPC carry out its mission and objectives through participation in the daily prayer ministry.
The successful candidate will fulfill a full-time permanent position in the Calgary head office, beginning July 2026. This position includes benefits of life insurance, medical/dental and short-term/long-term disability, RRSP contributions after one year of employment, and 15 vacation days per year to start.
Key responsibilities include but are not limited to:
- Maintaining and updating the OCC database to support the CONNECT volunteer ministry.
- Coordinating and administering CONNECT volunteer processes, including onboarding, welcome kits, recommitments, and profile agreements.
- Supporting the planning and execution of volunteer and field events.
- Assisting with annual CONNECT campaigns, including volunteer engagement and appreciation initiatives.
- Managing and maintaining volunteer records and files, ensuring accuracy and compliance with organizational policies.
- Preparing and managing data lists for CONNECT campaigns in collaboration with IT, including updates and post-campaign reviews.
- Supporting conference logistics, including registrations, event preparation, and shipping of materials.
- Assisting in planning and coordinating semi-annual National Coordination Meetings.
- Preparing, editing, and distributing materials, manuals, and communications for the Regional Manager team.
- Processing travel authorizations, expense reports, and purchase orders for the Field Ministry Team.
- Organizing and maintaining the Field Ministry Playbook, including regular updates and audits.
- Responding to or directing inquiries from Regional Managers and the volunteer network.
- Supporting reporting by compiling monthly, quarterly, and annual departmental updates.

Diploma in Office Administration or 2–3 years of related administrative experience

Proficient in Microsoft Office Suite

Proven strength in office administration and coordination

Strong written and verbal communication skills

Highly organized with strong attention to detail

Ability to work both independently and collaboratively within a team

Able to manage multiple priorities in a fast-paced, dynamic environment

Demonstrates professionalism and maintains confidentiality
