About the role

This position has a term length of 1 year plus 1 day, with the possibility of extension.
Location - This role is in-person at North Campus, Edmonton.

The Project Coordinator is responsible for the planning, coordination, and execution of assigned research projects to ensure alignment with established objectives, timelines, and budgets. Key responsibilities include preparing ethics applications, revising proposals, coordinating and chairing project meetings, and maintaining effective communication with internal and external stakeholders. The role involves participant recruitment, data collection, data management, and statistical analysis, as well as conducting literature reviews, drafting academic papers, supporting publications, and preparing project reports. The Project Coordinator also provides mentorship and guidance to undergraduate volunteers, interns, and graduate students contributing to assigned projects, fostering a collaborative and supportive research environment.
This position focuses on Public Health and Community Engagement initiatives. As health research increasingly incorporates mixed-methods approaches, this specialized role is essential for advancing the lab’s research priorities and supporting its ongoing success.
The Faculty of Rehabilitation Medicine is Canada’s only free-standing faculty dedicated to rehabilitation. It offers accredited professional programs in Occupational Therapy, Physical Therapy, and Speech-Language Pathology, along with a substantial research and continuing education portfolio. With campuses in Edmonton, Calgary, and Camrose, the faculty serves approximately 1,000 graduate students and is a national leader in advancing rehabilitation practice and outcomes.
Project/Academic Activities (40%):
- Completes and submits Human Ethics applications for all projects involving human participants
- Leads participant recruitment for their project(s), including creation of recruitment materials, attending offsite recruitment events, and communicating with network
- Conducts research activities for their project(s), including consent process for human participants, guiding participants through the study protocol (guaranteeing participant safety), ensuring accurate data collection, safe data storage processes, accurate distribution of participant honoraria (if applicable), and concise record keeping
- Completes appropriate data analyses for study, including statistical analysis
- Prepares for and conducts regular project reporting meetings with supervisor(s) and external stakeholders
- Monitors project spending to ensure projects remain in budget; communicates budgetary information to Program Coordinator and to Principal Investigator regularly
- Gathers information for and prepares reporting information required by funding bodies in a timely manner; ensures Program Coordinator and Principal Investigator are aware of reporting deadlines and provides them with all relevant information in advance
- Supports student volunteers or placements assigned to support their project(s)
- Prepares scientific papers for publication, in collaboration with the Program Coordinator and Principal Investigator; submits such papers for publication and handles reviewer comments and changes
- Conducts literature reviews to support funding proposals, report writing, and academic papers for submission
- Supports grant proposal writing through editing support, draft writing, and identification of funding opportunities
- Plans and attends community engagement events for research purposes, including logistics coordination, event advertisement and communication, note taking, and post event reporting to all appropriate stakeholders
Access, Community and Belonging (ACB) Advisor (10%):
- Lead the development of lab-specific ACB guidelines, frameworks, and action plans so that the Rehabilitation Robotics Lab is an exemplar for incorporating these values in all our research projects and programs.
Support the integration of ACB considerations into study design, participant recruitment, data collection, and analysis to ensure fairness and inclusivity in all research outputs
Organize and oversee ACB-focused training sessions, including anti-racism, anti-ableism, accessibility, and cultural safety workshops - Provide tailored mentorship and guidance to trainees, ensuring equitable access to opportunities and professional development
Strengthen partnerships with equity-deserving groups, including Indigenous, rural, and underrepresented communities, ensuring research practices are culturally safe and respectful
Develop mechanisms to track and assess lab-wide ACB progress, including diversity metrics, mentorship engagement, and feedback from team members
Collaborate with the Inclusion and Accessibility Vice-Director iSMART Institute for mentorship and strategic advice on best practices
Communication and Administration (20%):
- Serves as first point of contact for specific research project(s) they are coordinating
- Receives and prioritizes incoming communications related to the project(s)
- Provides presentations on research activities for regular lab tours, conferences, etc.
- Collaborates with central External Relations on public-facing communications by preparing, submitting, and implementing lab-related updates for distribution through approved university channels, ensuring alignment with university communication policies and branding standards. Oversees the lab’s social media and digital communications strategy, ensuring consistent, purposeful, and brand-aligned messaging that strengthens community engagement and enhances the visibility of research activities.
- Maintains website content for lab website on ualberta.ca as well as separate lab website
- Supports team in creation of presentations, posters, etc. for conferences and events; ensures communication with external stakeholders is accurate and represents the lab and University appropriately
- Prepares and distributes agendas and briefing materials for regular lab meetings
- Supports Program Coordinator with email management and calendaring
Document/Materials Development (15%):
- Creates and proofreads Standard Operating Procedures for relevant equipment and processes to the project(s)
- Creates and maintains documentation of research protocols and activities, including Participant Information and Consent forms, formal protocol documents, honoraria payment tracking forms, etc
- Adheres to documentation retaining requirements for participant records, financial records, etc.
- Preparation of project reporting documents, including scientific paper drafts, final reports, and final presentations
- Prepares content for website and social media, including written work, video, or photography (including video editing)
- Prepares and improves presentations, posters, and other visual communication for team members and events
- Creates and maintains promotional materials such as project one-pagers, rack cards, brochures, swag material, etc. to be used at conferences, events, and lab tours
- Assists with routine travel arrangements
- Coordinates events, both professional and social, for research and team activities, including scheduling rooms and spaces on and off campus, organizing equipment, ordering catering, assembling materials, etc.
- Supports staff and students on managing and scheduling space for research activities
Supervision and Leadership (15%)
- Responsible for hiring, supervising, mentoring, and managing employee performance within a large, complex, unionized environment. ·
- Uses excellent interpersonal skills and applies the “employer-perspective” necessary to effectively manage and supervise a team of unionized support staff.
- Demonstrated working knowledge applying / complying with: a Collective Agreement(s); HR related policies and procedures (UAPPOL); and, HR best practice standards.
- Proactively consults with the Faculty’s centralized HR Team to ensure all HR-related transactions comply with required U of A processes and procedures.
- Proactively consults with supervisor, HR Partner, and/or Central HR units regarding all other HR, employee relations, and labor relations issues to ensure compliance with relevant Collective Agreement, policy, and legislative requirements, as well as, ensuring HR best practice standards are applied.
- Responsible for developing and maintaining positive, professional, collaborative working relationships with both internal / external clients and stakeholders at all organizational levels.
Required Qualifications
- Bachelor’s Degree in Social Sciences with at least 5 years of directly relevant experience in NGO, social sector, or university/research environment is an asset
- Background in anthropology and/or Public Health a strong asset
- Excellent organizational, time management, and critical thinking skills; strong attention to detail required
- Excellent interpersonal and communication (verbal and written) skills including strong ability to demonstrate professionalism, confidentiality, and diplomacy
- Excellent spelling, grammar, editing, and proofreading skills
- Knowledge of health care industry and terminology an asset
- High tolerance for ambiguity; adaptable to a changing environment
- Demonstrated understanding of the importance of creating equitable, diverse, and inclusive practices
- Ability to work independently with minimal supervision
- Able to perform searches on databases, websites, etc. to support project activities; experience with literature reviews
- Proven computer proficiency at an advanced level in the following software packages: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Applications (Docs, Sheets, Drive, Forms), and data management platforms (e.g., REDCap, Qualtrics). Experience with additional enterprise or research systems (e.g., PeopleSoft, Qualtrics, NVivo, or similar platforms) is considered an asset
- Demonstrated ability to work collaboratively in a team environment while managing competing priorities
- Ability to meet deadlines and prioritize work effectively
- Ability to network and build strong professional relationships
- Experience managing or coordinating research projects, including directing undergraduate students
- Experience with ethics submissions, manuscript editing, and annual reports or related academic writing
- Develops and maintains professional, positive, and collaborative working relationships with both internal/external clients and stakeholders at all organizational levels
- Demonstrates excellent judgment and high level of initiative
- Possesses excellent interpersonal skills and uses an employer-perspective necessary to effectively supervise a team of technical, administrative staff, practicum students and student volunteers.
- Possesses 1 to 3 years HR-related skills and experience hiring, leading, supervising, mentoring, and managing employee performance within a large, complex, unionized environment
- Possesses basic working knowledge and compliance with the relevant Collective Agreement(s), Uof A policies and procedures, as well as HR best practices.
- Consults with the HR Partner and/or Central COEs on more complex matters to ensure Collective Agreement compliance and best practice standards are met.
Preferred Qualifications
- Master’s Degree in Rehabilitation Science, Public Health, with 2-3 years of relevant experience
- Openness to new experiences an asset
- Friendly and outgoing personality an asset
- Experience with mentoring and training junior team members and/ or students
- Strong interpersonal skills and ability to lead small groups
- Experience with, or understanding of, rural healthcare services
- Experience working with the disabled community
- Experience coordinating research projects from conception to completion
- Experience with advanced data analysis software (e.g., NVivo, MAXQDA) is considered an asset
- Experience with electronic data capture, online survey platforms, and reference management software (e.g., EndNote, Zotero, Mendeley) is considered an asset
