About the role
Appointment Coordinator – Service Department (White Glove Concierge)
At Volvo Cars New Brunswick we are looking for a highly organized, customer-focused Appointment Coordinator to join our Service Department team. This in-person role is the first point of contact for our service clients and plays a key part in delivering a seamless, high-end experience at every interaction.

What You’ll Do
You’ll be the first point of contact for our clients—setting the tone for a premium, seamless experience from the very first interaction.
- Manage all inbound appointment requests (phone, email, online)
- Schedule and optimize service bookings to keep our shop running at peak efficiency
- Coordinate our White Glove Concierge Service (vehicle pick-up & drop-off)
- Communicate clearly with clients and ensure every detail is handled
- Proactively fill open time slots and build future appointment pipelines
- Support the service team to keep each day running smoothly

What You Need to Bring & Deliver Success

- Exceptional organization and attention to detail, ensuring accuracy in every booking
- Ability to multitask in a fast-paced environment while keeping schedules running smoothly
- A customer-first mindset that creates happy, loyal clients
- Automotive or scheduling experience (an asset, not a must)
- A focus on results—driving high appointment show rates and minimizing no-shows
- Skilled at maintaining smooth, well-balanced daily service schedules
- Confident in executing concierge services seamlessly from start to finish
- Proactive approach to pre-booking, especially during peak tire seasons
