The Construction Administrative Assistant (CAA) is an office-based role providing administrative and documentation support to the Project Manager, Project Coordinator, Project Assistant, and Site team throughout all phases of construction. The CAA prepares, tracks, and files project documents — including contracts, change orders, purchase orders, and RFIs — ensuring records are accurate, distributed, and maintained. Travel to project sites across Manitoba is required. This role suits a detail-oriented professional who thrives in a fast-paced environment and takes pride in keeping people, paperwork, and processes aligned.
Key Responsibilities:

Draft, organize, and manage project documents including contracts, change orders, purchase orders, RFIs, and supplemental instructions.

Maintain tracking logs for all active documents, ensuring timely distribution and proper filing.

Coordinate DocuSign workflows and confirm receipt of executed documents.

Collect and file site documentation including delivery slips, inspection reports, and photos.

Update project schedules in Microsoft Project under the direction of the Project Manager.

Track product and material submissions and prepare comparison summaries as requested.

Maintain safety and WHS compliance records, ensuring documents are logged and current.

Assist with occupancy, permit, and project turnover and closeout documentation.

Support post-occupancy and warranty coordination.

Prepare agendas, correspondence, and administrative materials as directed.

Travel to various project sites across Manitoba as required.

Collaborate with the Project Coordinator, Project Manager, Project Assistant, and Site team to maintain accurate and timely project documentation.
Qualifications:
- Valid driver's license and reliable transportation required.
- 1–2 years of administrative experience; construction or related field preferred.
- Strong organizational skills and attention to detail with ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite; construction or project management software an asset.
- Familiarity with construction terminology and documentation an asset.
- Willingness to grow within a team-oriented construction environment.
