About the role

We are currently seeking a detail-oriented Payroll Coordinator to manage Owner Operator pay processing and support our growing operations.
Scope of Role:
The Payroll Coordinator is responsible for the accurate and timely processing of Owner Operator settlements, ensuring all loads, rates, deductions, and supporting documentation are verified and completed in accordance with company and contractual requirements. This role is critical to maintaining driver satisfaction, financial accuracy, and operational efficiency.
Key Responsibilities:
- Process weekly Owner Operator settlements, ensuring accuracy and timeliness
- Review dispatched loads to confirm rates, miles, accessorial, and fuel charges are correct
- Verify all required documentation including PODs, scale tickets, and supporting paperwork
- Apply and reconcile deductions (fuel, insurance, advances, permits, etc.)
- Investigate and resolve pay discrepancies or missing information in collaboration with Dispatch and Operations
- Maintain accurate records within the system (Axon or applicable platforms)
- Respond to Owner Operator inquiries regarding pay, statements, and deductions
- Ensure settlements are completed in alignment with company timelines and billing cycles
- Support month-end processes and reporting as required
- Identify opportunities to improve accuracy and efficiency within the pay process

What You Bring:
- 2+ years of experience in payroll, settlements, or accounting within transportation
- Strong understanding of Owner Operator pay structures and settlements
- Experience working with load-based pay, rates, and deductions
- High attention to detail and accuracy
- Strong problem-solving and reconciliation skills
- Ability to manage deadlines in a fast-paced environment
- Strong communication skills, with the ability to handle pay-related inquiries professionally
- Experience with Axon or similar transportation systems is an asset
- Proficiency in Microsoft Excel and Office tools
