Administrative Assistant, Student Supports
Position Summary
The Administrative Assistant, Student Supports is responsible for providing reception and administrative support for the provision of services offered through Accessibility Services, the Library and Academic Support.
The Administrative Assistant is the first point of contact for students seeking Accessibility Services and helps to provide a welcoming and safe place for them to come to get the support they are seeking. This position provides administrative support to the Associate Dean, Student Success and the Library and Academic Support teams.
This position performs a wide variety of administrative support services, ranging from routine to complex, all of which contribute to the efficient and professional operation of Accessibility Services, the Library and Academic Support. The incumbent must have the ability to interpret and make decisions in accordance with procedures and practices of the organization and must be flexible and demonstrate the ability to maintain confidentiality, diplomacy, and tact at all times.
Position Responsibilities
Accessibility Services Support:
- Assist Accessibility Coordinators in providing services that allows Red Deer Polytechnic to fulfill their legal duty to accommodate requirement for persons with disabilities.
- Respond to disability-related inquiries, advising students, staff and community members of process, and procedure in order to fulfill service requirements (example: registration process, obtaining documentation, Access+/Clockwork processes, funding inquiries, Schedule 4 reconciliation, etc.).
- Assists with student account creation in the Clockwork student database. Scan and upload required documents and information into the system.
- Retrieve and collect confidential information from registrations, funding approvals, Banner, for case management, billing and statistical purposes.
- Confirm disability-related funding via the Alberta Student Aid website or other external agencies (band funding, other provincial funding agencies, etc.).
- Prepare billing for students who receive disability-related funding and ensure services billed do not exceed the funding agreement from Student Aid.
- Submit invoices to the finance department and students.
- Provides back up support to complete student pre-registration interviews and Schedule 4 funding applications.
- Provide input for service forms, information documents and website revisions and updates.
- Assist Accessibility Technology Strategist with reviewing proof of purchase documentation, approving and fulfilling alternative format text (AFT) requests.
Reception:
- Provides information to general inquiries made in-person, by phone, mail, or email, including general information about student services and student-related procedures.
- Provide reception and a first point of contact for inquiries regarding Accessibility Services from students, staff, faculty, and external contacts received via email, telephone, or walk-in-traffic.
- Provides a welcoming and safe environment for individuals coming to Accessibility Services.
- Makes appropriate soft referrals within and beyond Student Supports while informing the appropriate staff members so follow up can occur.
- Supports the management of the Accessibility Services and Academic Integrity lnboxes.
- Aids in scheduling and ensures that all Accessibility Services and Intake student appointments, meetings, and as needed activities are entered in Accessibility Services calendars (Outlook and Clockworks) and upon request or illness, supports rescheduling appointments and meetings.
- Coordinates student reception processes, updates the check-in webpage and assists students with self-check-in services, notifying Accessibility Coordinators when drop ins and appointments arrive.
- Advises Accessibility Coordinators of any potential urgent situations that require immediate support for students.
Administrative Support:
- Provides general administrative support to Accessibility Services, the Library and Academic Support while maintaining confidentiality, accuracy, tact, and respect at all times.
- Performs general administrative duties such as word processing, data entry, filing, answering phones, photocopying, scanning and retrieving correspondence.
- Coordinates, schedules, and facilitates all meeting arrangements, including preparing agenda packages, transcribing minutes, and arranging all logistical requirements for the Associate Dean, Student Success, and Accessibility Services.
- Manages the calendar of the Associate Dean, Student Supports prioritizing appointments and proactively resolving scheduling conflicts.
- Prepares, gathers, and relays confidential information and materials on a regular basis.
- Generates reports through Banner/Cognos as required by Leadership team members.
- Provides assistance to new employees related to administrative matters and onboarding.
- Maintains the day-to-day office area, operates, and maintains office equipment.
- Maintains technology inventory and network drive structures as assigned by the Administrative Officer.
- Performs administrative tasks to assist with delivery of events, workshops, and presentations by the Associate Dean, Student Success and the Accessibility Coordinators.
- Liaises with other division administrative staff to ensure smooth information flow and clear division of responsibilities.
- Tracks, orders, and monitors office supplies ensuring supplies are available.
- Submit facility maintenance work orders and janitorial requests as required.
- Provides coverage for other administrative positions within the division as needed.

Required Qualifications

Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent.
Preferred Qualifications

Clockwork and Banner experience is considered an asset

Process-oriented and ability to contribute to ongoing continuous improvement practices

One to two years experience preparing meeting agendas, minutes, letters, and memos accurately and error-free.

Excellent customer service skills and interpersonal skills with ability to confront issues or sensitive situations in an objective manner while remaining calm, courteous and helpful

One to two years’ experience working within an office team ensuring confidentiality, integrity, diplomacy, professionalism, and tact at all times.

Strong Communication and Interpersonal skills; verbal, written and listening skills as well as telephone and email etiquette.

Use of judgement in recognizing the need to involve the appropriate staff for urgent matters

Proficient knowledge of office equipment (ie phones, photocopier, and computers).

Extensive experience in calendar management using MS Outlook and other appropriate software programs.

Proficiency in Microsoft Office standard applications, specifically MS Outlook, SharePoint and TEAMs as well as experience with various databases; Clockwork and Banner experience is considered an asset.

One to two years’ experience preparing meeting agendas, minutes, letters, and memos accurately and error free.

Strong organizational and time management skills to prioritize workload under pressure and in a fast-paced environment.
