The Role The Receptionist/Administrative Assistant will be responsible for managing the front desk, answering a Meridian Switchboard, greeting clients or visitors in an efficient and courteous manner, general office support (booking boardrooms, etc.) and assisting in other administration jobs as required. The ideal candidate will be professional and reliable with a team player attitude. Excellent organizational and interpersonal skills, as well as punctuality and fluency in the English language with strong verbal and written communication skills are required. Key Responsibilities Receive calls from the main switchboard Greet clients in a respectful and courteous manner Receive and send out courier packages and general office mail Provide administrative support (submission of documents including reports, proposals, letters, memos, etc.) Document control logging, transmitting and receiving documents through the document control software interface following established operating procedures and work instructions Work with MS Word, Excel, PDF Xchange Editor, Visio and Outlook Co-ordinate travel arrangements Ensuring there is adequate inventory of office and kitchen supplies, ordering supplies as required Maintaining general cleanliness of main areas such as the lobby, staff kitchen, and conference room. Provide administrative support services to leadership team and other employees About You To fill the role, we’re looking for an applicant to bring forward a good mix of qualifications and previous experience. Some highlights could include: Minimum of 2 years of administrative or related experience Post-secondary certificate or diploma in an administration field is considered an asset but is not required High level of proficiency with Microsoft Office suite and PDF XChange, especially Word and Excel, is essential A professional manner combined with the flexibility to multi-task and meet deadlines and changing priorities Ability to work in a team environment with strong collaborative skills Ability to learn new systems and adapt to change quickly Excellent organizational, interpersonal, and communication skills Ability to build relationships and collaborate with employees and senior management Previous reception experience in a busy environment is considered an asset but is not required
