Position Overview Lambert Nemec Group, is partnering with our client to recruit an experienced Executive Assistant to provide high-level administrative and operational support to senior leadership. This is an excellent opportunity for a highly organized, proactive professional who is comfortable working with executives, managing confidential information, coordinating complex schedules, and ensuring priorities are handled efficiently and professionally. Key Responsibilities Provide high-level administrative and organizational support to senior executives and leadership. Manage complex calendars, coordinate meetings, and proactively identify and resolve scheduling conflicts. Coordinate domestic and international business travel, including flights, accommodations, transportation, and detailed itineraries. Prepare and organize meeting materials, agendas, presentations, reports, and business correspondence. Attend meetings as required, record meeting minutes, track action items, and ensure appropriate follow-up. Manage confidential and sensitive information with a high degree of discretion and professionalism. Coordinate internal and external communications on behalf of senior leadership. Prepare and process expense reports, invoices, purchase orders, and other administrative documentation. Maintain organized electronic and physical filing systems and ensure information is accurate and accessible. Assist with special projects, research, presentations, and other initiatives as directed by senior leadership. Serve as a key point of contact for internal and external stakeholders, demonstrating professionalism and sound judgment. Anticipate executive needs, identify potential issues, and take initiative to keep priorities and day-to-day operations moving forward. Requirements 5+ years of experience providing administrative or executive support, ideally supporting senior leadership or C-suite executives. Proven ability to manage complex calendars, travel arrangements, meetings, and competing priorities. Exceptional organizational skills with strong attention to detail and follow-through. Excellent written and verbal communication skills, with the ability to interact confidently with executives and stakeholders at all levels. Strong discretion and ability to manage confidential and sensitive information. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Highly proactive, resourceful, and solutions-oriented, with the ability to anticipate needs and work independently. Strong judgment, professionalism, and ability to remain composed in a fast-paced environment. Post-secondary education in Business Administration, Office Administration, or a related field is an asset. Rewards Competitive salary range of $70,000-$85,000 based on experience.
