Levitt-Safety, a proudly Canadian company and leader in the fire and life safety industry, is looking for an HR & Office Administrator to join our Oakville head office team. This is a varied role that combines HR and recruiting support with front-office administration. Based at our reception/front desk, you’ll be the first point of contact for employees, candidates, customers, and visitors while working closely with a supportive HR and office team. You’ll work closely with a collaborative HR and office team while independently managing the front office and reception area. This role is ideal for someone who enjoys juggling different priorities, connecting with people, and keeping things moving, while staying organized and comfortable working with the occasional interruption. Schedule: Monday to Friday, 8.00-5.00 Work arrangement: Onsite What You’ll Do Be the welcoming first point of contact for employees, candidates, customers, and visitors at our Oakville front office/reception area. Answer and direct incoming calls through our main switchboard and help ensure a professional, seamless front-office experience. Provide day-to-day administrative support to the HR team, including maintaining employee records, updating HR systems, and supporting HR documentation. Support recruiting activities, including job postings, interview scheduling, candidate communication, reference checks, pre-employment requirements, and other recruitment coordination. Assist with employee onboarding, including documentation, system updates, and coordination of onboarding activities. Support benefits administration, including new employee enrollments, employee changes, terminations, and other routine benefits-related tasks. Assist with employee recognition, milestones, meetings, events, and keeping employee communications and resources up to date. Coordinate meeting rooms, refreshments, mail, couriers, office supplies, and other general office requirements. Provide occasional administrative support to our Health & Safety and Quality Assurance teams, including documentation, training records, and other administrative tasks as required. Help keep the Oakville office organized, welcoming, and running smoothly while providing general administrative support as needed. What You Bring 1-2 years of experience in an administrative, HR, recruiting, or office support role. Reception or front-desk experience is an asset. Strong organizational skills and the ability to manage multiple priorities. Comfort working independently in a front-office/reception environment while being part of a larger team. Professional and friendly communication skills. Strong attention to detail and the ability to handle confidential information with discretion. Proficiency with MS Office, including Outlook, Word, Excel, and Teams. Comfortable learning and working with new systems and technology. French language skills are an asset. Why Join Levitt-Safety?
