Position Summary The Executive Assistant is a trusted partner to the CEO and President’s Office, ensuring the smooth operation of executive priorities, governance activities, and organizational administration. Acting as the primary liaison for internal and external stakeholders, the EA provides high-level administrative, governance, and logistical support while helping to advance the Foundation’s mission of building a more resilient, inclusive, and sustainable Canada. What You’ll Do Executive & CEO Support Manage the CEO’s calendar, travel, correspondence, expenses, and competing priorities. Serve as the primary point of contact for the President’s Office and support leadership initiatives, events, and stakeholder engagement. Governance & Board Administration Support the Board of Directors and committees by coordinating meetings, preparing agendas and materials, arranging logistics, taking minutes, and helping maintain effective governance practices. Operations & Organizational Coordination Coordinate workplace services, executive team travel and expenses, document management, and administrative processes that ensure efficient day-to-day operations. Collaboration & Continuous Improvement Support cross-functional projects, maintain systems and tools that improve workflow, and contribute to a collaborative, responsive, and service-oriented organizational culture. What We’re Looking For A bilingual (French and English) administrative professional with at least three years of experience supporting senior leaders, strong organizational and communication skills, proficiency with Microsoft 365 and SharePoint, sound judgment, and an interest in governance, philanthropy, and mission-driven work.
