McMillan has an exciting opportunity as a Legal Administrative Assistant in our Ottawa Commercial Litigation Group. As a member of the team, you will play a key role in managing the legal and administrative aspects of the practices of a team of successful legal professionals. Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the Ottawa office for the balance. Your hybrid schedule will start once you join McMillan! What You’ll Do * Act as the go-to person for your team providing practice and organizational support * Draft, prepare, and revise correspondence and various court documents * Serve and file court documents through court filing platforms * Schedule motions, examinations for discovery, pre-trials and trial dates, amongst other scheduling tasks * Monitor procedural and court deadlines and manage reminder systems * Manage and organize documents within the document management system and assist with file organization * Open new client matters and manage related administrative processes * Support billing activities, including docket review and preparation of monthly accounts * Manage calendars, coordinate and schedule meetings * Maintain and update client contact information * Assist with tracking business development activities * Coordinate travel arrangements and registrations for conferences * Leverage technology to service clients in an efficient and effective manner What You Bring * A Legal Assistant or Office Administration Diploma with a minimum of seven to ten years of administrative experience supporting multiple legal professionals in a litigation setting * Experience dealing with the various levels of Ontario Courts including Commercial List matters, Civil bookings, Case Center and OCPP. Familiarity with relevant court documents, filings, and the Rules of Civil Procedure. * Experience using Automated Civil Litigation (ACL) * Strong administrative, organizational, and interpersonal skills * High attention to detail and ability to meet deadlines * Comfort working in fast‑paced environments and within team settings * Commitment to delivering exceptional client service * Eagerness to expand knowledge and adopt new technologies * Strong proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Pro * Prior experience with iManage, Intapp, and 3E or similar document management, file opening, and accounting software required * French language skills are an asset McMillan Offers You Growth Mentorship and Support Training as Software Evolves Commensurate Compensation and Benefits Package Fun Work Environment Continuous Learning & Development Salary range – $68,000 - $78,000 McMillan = You At the heart of our commitment to being a first mover on important issues, McMillan believes that equity, diversity and inclusion are catalysts for success.
